Job Purpose:

To provide professional and administrative services to the Citi Global Wealth (CGW) EMEA General Counsel and the Legal Team


Job Background/context
CGW Legal team require a maternity cover for the next 12 months for their Senior Executive Assistant. This is a great opportunity for an individual who thrives in a fast paced, busy environment.


Key Responsibilities:


  • Providing administrative support to the CGW EMEA General Counsel and the CGW EMEA team.
  • Proactive maintenance of calendars.
  • Arranging internal/external meetings and conference calls.
  • Booking travel and processing expenses.
  • Booking meetings & meeting rooms.
  • Assisting with management of the invoicing process, including record keeping and generating data for budget reports.
  • Assisting with IT issues including logging tickets, setting up drives, processing Marketplace requests and creating SharePoint sites.
  • Assisting with processing of new joiners, secondees and colleagues returning from longterm leave to ensure appropriate online access and desk space.
  • Preparation and formatting of word documents, spreadsheets, presentations and converting documents from PDF to Word.
  • Carrying out routine administrative tasks such as filing, large volume printing, photocopying and collating of information.
  • Assisting with setting up new legal matters in Citi Marketplace and assisting with billing.
  • Occasional archiving and retrieval of files.
  • Arranging for security passes, computer access and desk space for visitors to the London Office.

Person Specification

Knowledge/Experience:


  • Experience as an administrator/PA in an office environment.
  • Well versed in office administration and a good command of the English language, grammar and spelling.
  • Document preparation, formatting, and typing skills.

Skills:


  • Advanced knowledge of IT software packages including Word, Excel, PowerPoint, & Microsoft Outlook required.
  • Ability to build excellent working relationships.

Competencies:


  • Strong communicator, both written and verbal.
  • Capable of working under pressure with limited supervision.
  • Strong organisational and administrative skills.
