World Leading Energy Company has an exciting opportunity for a PA/ Business Administration Support to join the Europe and Environmental Products team, based on 3 Days in London 2 days remote, 6 month initially contract with a view to transition to permanent.

The purpose of the Trading & Supply business is to maximize sustained value creation across commodity markets in support of overarching RDS objectives of material cash generation and a high return on capital.

In line with overall T&S strategy the purpose isto drive the energy transition through to net carbon zero, whilst maximising shareholder returns.


The Role:
This position is responsible for providing comprehensive, fully proactive and highly confidential administrative support.

The incumbent will provide support to department staff, including providing office management support in the office located in London and ensuring that the systems and operational support are in place for the smooth running of the department.

The successful incumbent will act as the single point of accountability for such matters.

Agenda Management:

  • Management of the schedule, diary and calendar of those nominated persons
  • Scheduling a variety of styles of meetings and engagements (video and audio conferences and web conferences) for attendees working in multiple time zones, including booking facilities and preparing content and coordinating outcomes
  • Coordinating travel arrangements for senior staff

General Office Management:

  • Assisting in preparation of documents, reports and presentation material
  • Coordinating building access for external visitors and visiting staff
  • Preparing agendas
  • Maintaining organisation chars and webpages
  • Acting as the business focal point for buildings real estate and facilities management
  • Acting as the business focal point for onboarding of new staff

Data Management:

  • Maintaining reference documents in SharePoint and own storage
  • Managing permissions of folders where team documentation is held
  • Monitoring SharePoint design and recommending best practice updates according to changing needs of team storage and methods of collaboration.
*Effective communicators and have the ability to work under pressure and cope with last minute changes.
*Effective at dealing with multiple issues in a dynamic, multi-cultural environment, with the confidence to interact at all levels within and externally.
*Maintaining the highest degree of confidentiality in all matters attended to. Ensuring the smooth running of the section that includes senior management.
*Strong IT technology / computer literacy
*Sound administrative and secretarial skills
*An ability to work independently, set priorities and manage workload
*Ability to communicate strongly and establish relationships with individuals at all levels of the organisation, especially at VP level and above
*Proven experience in supporting EVP levels will be an advantage
*Ability to handle highly sensitive situations with diplomacy and tack and maintain confidentiality
