Ipswich Town Football Club is seeking to appoint an experienced Executive Assistant to support the Senior Leadership Team.

You will be a strong team player with exceptional interpersonal skills and have the ability to work on your own initiative.

Diplomatic and discreet, you will be able to manage a complex and demanding workload.

This position is a key strategic and operational role responsible for development, continuous improvement and delivery across a wide range of business areas.


Reporting to the Chief Financial Officer, the role will involve effective coordination with a number of internal and external stakeholders ensuring the club has efficient support predominantly across a wide range of business functions.


This is a varied position, and you will be responsible for all aspects of the day-to-day administrative function, ensuring the company meets all reporting obligations and supports the information needs of all key stakeholders.

The individual will have high levels of responsibility and accountability for operational delivery.

Key Responsibilities

  • Provide full administrative support at a senior level to ensure the smooth management of daytoday affairs and most effective use of time.
  • Coordination of meetings; management of agendas, minutes, and actions.
  • Diary Management for the Chief Financial Officer and key members of their team to include recording of annual leave for team members and record of absence.
  • Distribution of minutes / actions / reports to relevant committees and working groups.
  • Attend departmental meetings taking full minutes and distributing as required.
  • Travel arrangements and hotel bookings as required.
  • Book meeting rooms for visitors on and offsite and arrange appropriate refreshments.
  • Answer calls to external and internal stakeholders and direct them, or action accordingly.
  • Occasional travel to attend offsite meetings.
  • Preparing, amending, and matching department paperwork for invoicing ensuring purchase orders are correct and processed in agreed timeframes.
  • Any other associated admin tasks

Education & Experience:


  • Previous experience providing executive/ office manager level support.
  • Exceptional organisational skills and the ability to prioritise and handle multiple tasks simultaneously.
  • Strong interpersonal skills with the ability to build and maintain relationships with internal teams and key external stakeholders.
  • Exposure to budgets and forecasts, and monitoring these on a regular basis.
  • Promote and support a culture of proactivity, innovation, and flexibility.
  • Able to work in a fastpaced everchanging environment, be resilient and receptive to change management.
