We are looking to recruit a Management Support Assistant to provide secretarial/administrative support to the Estates and Facilities Management Senior Management Team.


As the Management Support Assistant, you will be responsible for:

  • Upkeeping of diaries, including the booking of appointments and co-ordination of meetings.
  • Undertaking of audio, copy typing and operating of office, word processing and computer equipment.
  • Undertaking reception and mail room duties, when required, and arranging hospitality as required and in line with the force Hospitality Policy.
  • Maintaining and developing administrative and filing procedures for the EFM Senior Management team (SMT).
  • Undertaking background research appropriate to the post and responding to telephone enquiries and any other queries either directly or on behalf of Senior Managers.
  • Attending meetings, producing notes/minuting and actioning logs of meetings and progressing subsequent actions.
  • Undertaking typing duties required by Senior Managers as appropriate.
  • Communicating instructions and information, undertaking chasing as required on behalf of E&FM SMT members.
  • Arranging internal and external interviews on behalf of the wider Management Team.
  • Providing general support cover (answering phones; undertaking tasks in line with existing banding and role profile etc) when required for other related areas within the Department including, but not exclusive to the Estates and Facilities Helpdesk, Business Support, Carbrook reception and the Mailroom. To be part of arrangements to ensure such service cover is maintained across all these areas between 8am and 5 pm Monday to Thursday; 8am and 4.30pm on Friday. For avoidance of doubt, this is to provide service cover and there will not be a requirement to undertake or learn other roles in their entirety, only enough to ensure service cover can be maintained. It may however involve the redirection of resources as needed at times of changing priorities, as determined by management and in line with current banding and role profile.

Experience and skills:


  • Have previous experience of working in an office environment.
  • Have previous use of Microsoft Applications including Word and Excel.
  • Must be willing to work towards RSA Level 2 or equivalent typing Qualification (or currently hold).
