Vehicle Fleet & Facilities Specialist - 12 Month FTC Based in Manchester

What does the role involve?:


  • As the Vehicle Fleet & Facilities Specialist, some of your key tasks will include:
  • Administration of the vehicle fleet (ca. 500 vehicles in GB)
  • Ordering and coordination of delivery process
  • Fuel card or alternative Electric Vehicle solution
  • Equip New Starters or Transfers with info package
  • Leavers process incl Master data maintenance, info submission to Leasing Partner and Insurance + coordination of vehicle collection
  • Accident claim management
  • Driver's licence controls
  • Update of driver handbook and vehicle policies
  • Liaising with Leasing Partner, Service Providers and Suppliers
  • Support Finance, Procurement, Vehicle and FM projects
  • Administration of post for head office
  • Incoming mail
  • Arrange courier services, deliveries and collections for head office
  • Coordinate adhoc services as Vehicle repairs and FM services (Security, Cleaning, Canteen/Hospitality, Waste Disposal, etc.)

Our Regional Head Office is based at Circle Square in Central Manchester, where we are located a short walk from Oxford Rd train station and St Peter's Square tram stop.

We offer a hybrid working pattern between the office and home and different ways to work flexibly so please feel free to talk about what flexibility means to you at your interview.


What you need is:


  • Minimum 1 years' administrative/business experience in a role successfully balancing a broad range of tasks
  • Comfortable with IT systems, especially MS Office
  • Excellent organizational skills and high attention to detail in a demanding and fast paced environment
  • Experience dealing with contractors and suppliers
  • Further education and language skills an asset
