Key Areas of Responsibility:

Working closely with all members of the Legal & Company Secretarial team, using initiative to handle day to day administrative matters in order to provide the department with an effective support service


This includes:

  • Arranging board and other formal governance committee meetings identifying suitable dates for attendees, booking meeting rooms, despatching calendar invitations, ensuring external visitors are issued with passes and assisting with the distribution of information relevant to the meetings.
  • Assisting the team with the preparation of committee and board meetings, including advising contributors of deadlines for their papers, the production of papers from templates, liaising with Chairs, collating papers to create meeting packs.
  • Assisting with the uploading of governance documentation to the board portal using specialist software.
  • Creation and/or maintenance of various departmental logs, spreadsheets and trackers (e.g. corporate organisation charts, meeting minute logs, training slides).
  • Taking minutes of team meetings and creating an action log as appropriate.
  • Liaising with other teams in the London Head Office and with others in the branches.
  • Handling confidential documentation ensuring compliance with organisational and regulatory procedures.
  • General ad hoc duties as required.
  • Making suggestions to streamline the administration of the department to increase overall efficiency.

Qualifications & Experience:

- 'A' levels with Maths and English at GCSE (or equivalent) level.

  • Preferably experienced in the core fundamentals of a Company Secretarial role, including basic knowledge of a governance framework and minute writing. You may currently be studying for qualification with the Chartered Governance Institute, or have an interest in doing so.

  • Trustworthy, discreet and can be relied upon to keep confidential information as confidential.
  • Very methodical and organised approach to work, with good time management skills
  • Capable of organising and prioritising workload in order to meet agreed timescales.
  • Demonstrate excellent interpersonal and communication skills; be articulate and diplomatic.
  • Strong attention to detail, particularly with written information, which should be well presented, using appropriate grammar, style and language.
  • Strong Microsoft skills, and a willingness to learn to use the board portal software.
  • Ability to work on own initiative, flexible and able to cope with change and ambiguity while also maintaining an established routine.
  • Strong team player to work collaboratively and with a willingness to learn and contribute to the effectiveness of the department as a whole.
