An Opportunity has arisen in Local Services for experienced Administrators to support the Perinatal Teams across Hammersmith & Fulham/Hounslow & Ealing.

The roles are Band 3

There aretwo postsbeing recruited to.

1.0wte (full time) aligned to the Ealing team and 1.0wte (full time) split across Hounslow (0.6wte - 3 days) and Hammersmith & Fulham (0.4wte - 2 days).

Part time working is able to be considered for the split post.

We are seeking experienced, confident and personable Administrators for the above roles.

They need to have excellent communication skills and be fully experienced in Microsoft word, IDT, Excel and preferably Rio


The post holder will be responsible for providing a full range of quality administrative support, as part of a wider team of Band 3 & 4 administrators for a multidisciplinary Perinatal Service across three London boroughs.

They will support the team to ensure that the service runs effectively and efficiently and that referrers, service users and their families/carers experience a responsive and friendly service.


The post holder will be required to deliver and maintain a range of administrative procedures that enhance the collection and recording of patient information and service performance data and will be required to take initiative in prioritising their workload to ensure service objectives and deadlines are met.


  • To provide an effective and efficient quality word processing support service, utilising software including Microsoft packages. And to carry out audiotranscriptions
  • To support the team with all administrative tasks around team meetings including CIG meetings (diary management/minute taking/action logs)
  • To be responsible for initiating, developing and maintaining client record systems ensuring all of the statutory and organisational requirements for their maintenance, safekeeping and disposal are adhered to at all times
  • To be responsible for the day to day processing of an effective and sensitive customer service when dealing with direct contact with Service Users, telephone calls and correspondence, (some patients may be emotionally vulnerable/distressed.
  • To maintain information system detailing the whereabouts of department members during working day, relaying details appropriately and timely
  • To be responsible for the minuting and typing of minutes, this may include the coordination of invitations, collating of agendas and relevant paperwork for attendees as required
  • To be responsible for ensuring that all case files related to clients are filed and stored in accordance with agreed organisational policies and legal legislation
  • To enter patient data accurately into computer system within agreed Trust deadline
  • To maintain adequate levels of information, resource materials, office sundries and supplies for the team.
