Finance Assistant

Hours of work 8am 5pm

The Finance Assistant is required to be a proactive person who will actively resolve any queries arising from the invoices, payments or quotations.

A detailed description of the role is setout below.

Payment Applications
Prepare Monthly Payment Applications

Updating P&L files

Answer invoice queries

Issue Payments via COINS Software

Roads & Footpath
Work with the Mayrise software to retrieve defects uploaded by engineers

Price defects using information provided by engineers (pictures and location maps and measurements)

Answer Queries after submission to Client
Edit pricing template to reflect client queries and approved defects

Create Work Orders in Maximo for each site

Dispatch Work orders to Contractors

Edit & Send rejected defects to operations team

Update trackers

Quotations & Tenders
Obtain quotations from third parties and internally for minor and major works

Submit quotations to the projects team for approval

Answer any queries related to the quotation or specification

Issue Tenders Documents

Submit supplier's details for financial checks

Raise orders in COINS Software
Upload contract documents into COINS

Retention
Work with the projects team to close out the defects liability period and release the associated retentions

Analyse payments to substantiate retention being held or released

Chase suppliers for any record of money owed (Retention) on the Project

Complete and dispatch forms to suppliers requesting submission Invoices for the release of retention

General Tasks
Raise Final Accounts

Chase suppliers for invoices and payments related to retention

Answer Commercial queries

Desirable but not necessary experience
Experience of Maximo, COINS and Mayrise Software
