PURPOSE OF JOB


Assisting the Fleet Administrator and Depot team with the performance of day-to-day office tasks associated with the management of our fleet.


MAIN RESPONSIBILITIES
- monitoring and reporting on the utilisation of the company fleet

  • Identifying and investigating high mileage vehicles
  • Analysis of usage of fuel cards
  • Analysis of usage of depot fuel system
  • Maintaining the fatigue management system, identifying anomolies and producing risk assessments and fatigue management plans where appropriate.
  • Answering telephone calls in a professional manner
  • Completing administrative duties under the instruction of the Contract Manager/Area Manager
  • Organising and completing timesheets.
  • Assisting with the organisation of the invoicing process.
  • Data entry onto the inhouse Syrinx system under the direction of the Depot Administrator. Confirming contracts on hire, entering new orders, entering machine and attachment numbers.
  • Interrogating data in syrinx to deal with customer queries
  • Supporting the compliance of company policies and procedures relating to health and safety and environmental management.
  • To participate in drug and alcohol screening when required
  • To report any accident, incident or near miss in which you are involved or which you witness and to fully cooperate with any subsequent investigation
  • To ensure that you refuse to comply on the grounds of safety whenever you believe that you have been placed in an unsafe situation or are given instructed to undertake an unsafe operation

ESSENTIAL SKILLS

  • Able to perform all duties in a polite, efficient, professional and courteous manner
  • Excellent verbal, numeric and written skills
  • Excellent IT skills, fully skilled in Microsoft Office suite (Word, Excel and Outlook)
  • Excellent telephone manner
  • Good attention to detail with a tenacious approach
  • Maintains high personal standards and always keen to learn new skills
  • Able to manage priorities and deliver on time
Annual salary will be in accordance with published minimum wage.
