The role

Reporting to the Group Head of Technical Training & Development, the People Administrator will be responsible for providing effective and efficient administration support to L&D and Operational teams.

Co-ordinating training requests through the booking of delegate places, travel and accommodation and maintaining the Learning Management System database to support the range of Kwik-Fit training programmes.


This permanent role is based upon 40 hours per week between Monday and Friday, based at our Training Academy in Derby.

Key accountabilities

  • To fully manage the Administration of training programmes by:
  • Handle delegate bookings/correspondence/queries and record on the appropriate system.
  • Organise availability of the Training resources and course materials.
  • Maintain computerised programme and course records.
  • Maintain accurate records in accordance with requirements of funding and awarding bodies.
  • General administrative support to the Programme Training team.
  • Provide administrative support at offsite events when required Working with internal staff and external contacts inc. managers, trainers, assessors delegates and operational colleagues etc.
  • To support in the running of the administration office by:
  • Reconciliation of invoices.
  • Coordination of internal/external post.
  • Speaking with customers and clients on the telephone.
  • Ordering of stationary.
  • Care calls.
  • Booking of travel and accommodation requirements to support the department as require.
  • To develop positive professional relationships with key internal and external stakeholders, including relevant Head Office departments, the wider divisional team and suppliers.
  • Collaboration and delivery of the People Strategy
  • Regular and accurate use of MS Planner to track and monitor all projects to completion.
  • Communicate with clarity, consistency and confidence to all levels of the business at all times.
  • To support in the updating and distribution of Management Information reports

Skills & experience

  • Actively support the People department ensuring you play your part in the overall success of the function, effectively delivering required projects on time every time.
  • Excellent IT skills is systems such as Microsoft Office software.
  • The ability to learn new systems and process quickly and implement them effectively.
  • An understanding of Government funded programmes and qualifications would be an advantage
  • A desire to deliver exceptional customer service to both internal customers and external suppliers.
  • A passion for quality and detail, with a 'right first time' approach.
  • The ability to cope with quickly changing requirements, maintaining selfcontrol and a positive attitude.
  • Good interpersonal skills, able to build positive relationships at all levels and with all types of people.
  • Highly organised with the ability to work under pressure when dealing with multiple competing priorities and challenging deadlines/workload.
  • Ability to communicate with staff at all levels.
  • Continually demonstrates high standards of conduct and performance, integrity and confidentiality.
