Description
The main purpose of the post is to work positively as part of the Age UK Stockport reception team to provide:

  • A reception service to ensure all contacts are efficiently and effectively dealt with in a friendly and professional manner; and
  • General admin support including operating contactbased computer systems and other IT administrative systems to support effective delivery of services.

Main Tasks and Responsibilities:


General Duties

Reception:
Ensuring all people contacting the organisation by telephone and other communication systems or calling at the offices are dealt with efficiently and effectively in accordance with the organisations standards, including:

  • Providing a friendly and professional point of contact for the organisation
  • Dealing appropriately with a range of different callers, members of the public and professional colleagues and partners, staff and volunteers.
  • Answering the telephone and answer phone systems as a priority
  • Supporting and directing clients with general enquiries and ensuring all messages are logged or followed through to the appropriate member of staff
  • Logging client information onto the required contact systems
  • Being the main contact in relation to the location and availability of staff
  • Welcoming visitors and ensuring they are dealt with promptly following all Health and Safety requirements

Administration:
Providing a range of general administrative support to the organisation, including taking a proactive attitude to developing and maintaining effective administrative systems to support effective delivery of services
, including

  • Monitoring use of meeting rooms and spaces ensuring they are ready
  • Ensuring equipment is ready for use by workers in terms of supplies and general needs, or reporting any difficulties immediately
  • Stock control and monitoring supply of support materials for the organisationas required
  • Health and safety systems to be maintained as required, including undertaking Fire Warden responsibilities and staff location checks
  • Providing support to finance and other central administration functions within the organisation which includes dealing with petty cash & banking
  • Dealing with data, recording and maintaining records electronically as required
  • Dealing with correspondence and distribution of information as needed
  • General varied administrative duties as required supporting the general running of the organisations processes, systems and quality standards.

Services Support

To develop and maintain a knowledge and understanding to enable support to effectively deliver services, including:

  • Familiarity with relevant terms and abbreviations in the areas of work
  • Awareness and understanding of relationships and collaborations and dealing positively with individuals and agencies associated with the work
  • Maintaining records, collecting, recording and collation of data and preparation of reports as required using electronic systems
  • Awareness of timing and requirements of monitoring reports and other service needs to assist deadlines to be met
  • To undertake such other administrative duties as time allows and may be required to support the delivery of the work

Other

  • To work to the mission and within the values of the organisation at all times and in all respects
  • To work constructively as part of the Age UK Stockport reception team of workers to support the work of the organisation, ensuing best use of time and resources
  • To be aware of all Age UK Stockport activities and work constructively as part of the staff team, positively representing the organisation
  • To attend individual supervision meetings and team meetings and to undertake training as required
  • To workwithin the policies and procedures of Age UK Stockport including maintain high standards of confidentiality
  • To carry out such other duties as deemed appropriate and may be reasonably required by the Chief Executive

Job Types:
Part-time, Permanent

Part-time hours: 16 per week


Salary:
£9.90 per hour
