Hours of Work:


  • 0.8FTE (30 hours per week), with flexibility, by mutual agreement, to weight the time towards Oxford's 8week terms. 15 months contract (with a possible extension).

Main Purpose of Job:


  • The job holder will have the opportunity to experience, contribute to and influence the daytoday operations of a busy college in the University of Oxford.
  • The role includes servicing two core College committees (Finance and Investment) and managing some standalone regulatory, commercial and administrative processes.
  • The role may appeal to someone with a professional background, with legal and financial experience, who would now thrive at the centre of a busy college, working to a familyfriendly academic calendar and with a wide variety of challenges.
  • The role is advertised as maternity cover, but some of the work is to replace a permanent position of someone who has retired. On the return of the member of staff member on maternity leave, there may be an opportunity to reset the Job Description for a permanent position in the College.

Responsible for:

Treasury Administration

Liaison with: Principal's Office, College Officers, Governing Body Secretary, Fellows, line managers and staff, external contacts and professional service providers.
Main Tasks

  • Finance Committee
  • Preparing agendas, collecting papers and subsidiary committee minutes, organising meetings and writing up minutes for the six annual termtime meetings.
  • Liaising with the College Accountant, the Domestic Bursar, the HR Manager and other department heads, to help marshal all the College's nonacademic business through this core Committee for oversight and decisions.


  • Investment Committee

  • Preparing agendas, organising meetings, drafting some papers, and writing up minutes for four Investment Committee meetings per annum.
  • Liaising with the College's investment advisers, stockbroker, custody provider, and Committee members about investment matters.
  • Maintaining private equity documentation such as Know Your Client (KYC) information, providing analysis as requested, tracking private equity draw downs and distributions, and managing stock purchases and sales.
  • Liaising with the College Accountant concerning the College's investments and their performance.


  • Insurance

  • Providing information to insurance brokers for the annual update of the College's insurance policies.
  • Dealing with some insurance queries and liaising with brokers, and handling more minor claims.
  • Responding to broker and internal College requests for insurance information on insurance policies and claims.


  • Other Treasury Work

  • Making sure minutes from all meetings are approved by the Chairs, and these and other necessary papers are provided to the Governing Body Secretary for distribution to Governing Body on time for their termly meetings.
  • Supporting the Treasurer with daytoday office services, including the management of correspondence, proofreading, communications, diary and online/paper filing systems.
  • Managing the update of the Trustees' Report in Michaelmas Term for the annual report and accounts, and ensuring accounts are filed and published on time.
  • Arranging completion of the Declaration of Interests by Fellows and senior staff annually.
  • Daytoday administration of all the College's subsidiary companies, including arranging and minuting directors' meetings and making filings with Companies House.
  • Assisting with management of bank loans, including reviews of loan agreements, provision of required documentation, arranging GB approval and authorised signatures etc.
  • Arranging Charity trustees' training for Fellows.
  • Additional project work, as required, such as managing Charity Commission registration processes for other College charities, reclassification of Endowments in line with Charities SORP.
  • Assisting with, and managing as appropriate, the handling of legal and regulatory issues as required, including liaising with solicitors on the College's Joint Equity Scheme and sale of College properties.

Person specification:


  • Enthusiastic

  • Someone who would enjoy and contribute to the life of the College.
  • Happy to work in unfamiliar areas, without detailed supervision, and to learn about new areas.
  • Educated to at least firstdegree level.
  • Flexibility to work flexibly, by mutual agreement, with much of the College business being undertaken during the eightweek terms.

Skills and experience:


  • Excellent writing, analytical and numerical skills.
  • Proficiency with spreadsheets using Excel, documents using Word, presentations using PowerPoint and general communication using Outlook.
  • Familiarity with some of the practices and terminology of investment management to support the endowment portfolio which includes an allocation to private equity.
  • Familiarity with basic banking
