Hours of work and timings:
You will work full time 37.5 hours per week between the hours of 8.00am and 6.00pm, Monday to Friday.


Annual salary range:
£23,000 FTE paid in monthly instalments


Holidays:
Annual holiday entitlement is 25 days plus 8 days of bank holiday entitlement pro rata for part time. Apportioned for fixed term contract and paid during your fixed term employment


Role description


All members of the Student Services and EFL Administrative team hold a vital position at Kings Oxford, ensuring the highest level of customer service is always provided whether it's existing or new business.

These roles cover the 'front of house' at three of our school campuses.

Providing a welcoming environment, assisting students with their requests, in which our students can flourish, improve their English, make progress in their studies, and develop their independence and understanding of living in modern Britain.


Duties to include taking incoming calls, filtering, and transferring, leading in welcoming students, agents and visitors and meeting there needs.

To complete various general and EFL administration responsibilities working with our iSAMS and Class Databases and frequent use of Microsoft word, excel and outlook.


Kings Oxford is registered as a boarding school with the Department for Education and all compliance is in line with the National Minimum Standards for Boarding Schools and the Ofsted Common Assessment Framework and Standards for Inspection of Boarding and Residential Schools.


Duties and Responsibilities

  • Interacting with students daily ensuring their needs are met and dealing with all promptly and effectively. This will include being responsible for the uploading of key student documentation onto the support databases, course extensions and accommodation enquires.
  • Being responsible for taking student payments, recording and the reconciling and management of these ledgers working with the Student Services Manager
  • To ensure the day to day running of reception is efficient and timely to include: photocopier maintenance, distribution, franking and collection of post, photocopiers are filled with paper and shredding machine is checked and emptied
  • For contractors following the Visitors and Contractors policy for check in and monitoring
  • Assist in the organising and booking of arrival and departure transfers for students.
  • Displaying and updating key student notice boards with revised and new information including Class list updates.
  • Assist the EFL Administrator with class enquiries as well as facilitate feedback sessions.
  • Printing progress reports, end of course reports and uploading documents to student profiles.
  • Being a keyholder and having responsible to open and close the school as part of your standard working hours.
  • In the absence of a Student Services member, be the 'attendance checker' ensuring that the school's safeguarding, child protection and attendance policies are adhered to in all cases.
  • To keep up to date with all courses and facilities available at Kings Oxford, locations promotions and the sale team directory.

You need to be empathetic, highly organized, able to think on your feet and have a proven track record of delivering success and service quality.


Applicants must be able to demonstrate

Professional skills:


  • GCSE Maths & English Grade C or above
  • Experience of working with international students
  • Outstanding communication skills, both verbal and written
  • Strong IT skills including competence with Microsoft Office, Excel, Word and Outlook
  • Comfortable learning new software: you will be required to use Kings Class and iSAMS databases (training will be provided)

Attitude and behaviours required:


  • You will be personable, approachable and friendly.
  • Ability to learn and adapt quickly and stop and start tasks.

Desirable:


  • Minimum of 2 years' office administrative experience or similar
  • Experience working within an English language school.
  • Additional language(s)
