Document Controller - North Shields

Position Summary - Document Controller


The primary function of this position is responsible for the coordination of customer Capital Project orders that are processed through the company, with specific concentration on providing timely and accurate order entry information to appropriate departments.


The Document Controller will also support compiling OE bid packages by reviewing commercial and technical documents sent in customer RFQ Packages.


When necessary, the document controller will also support the Projects Coordinator with vendor documentation requirements and submission of these documents through the customer's defined acceptance process within the required project timelines set by the customer.


Key Job Responsibilities - Document Controller

  • Read and interpret documents such as Customer Documentation Table (required docs), pricing book and product catalog, Customer quotation requests, Rules and regulations, Operating and Maintenance Instructions, Procedure Manuals (including technical specifications).
  • Assess customer queries/clarifications
  • Liaise with internal departments to obtain information where necessary
  • Feedback any commercial impacts of any changes
  • Ensure any/all changes are detailed on a revised quotation
  • Submit revised quotations
  • Document all documents required prior to order entry
  • Ensure that documents are returned in a timely manner enabling order processing
  • Liaise with other departments to coordinate testing/inspection where needed
  • Understand specific packing/invoicing requirements
  • Prepare and submit all documentation relevant to capital projects.
  • Record submission dates and revision numbers
  • Revise documents and resubmit as needed
  • Ensure that all documents are returned as approved in a timely manner
  • Establish and maintain productive and professional rapport with coworkers, customers, representatives, vendors, etc.
  • Oversee the sequence of events handed off by the outside Sales/Spec force in order to assure that the agreed 'sequence of events' (or equivalent) are met. This may include formal monthly order status updates to the customer. (specifically the post PO support).
  • Colead periodic MCP status update meetings, assuring that all the customer requirements are being met both commercial and technical.
  • Plans, organizes and controls all activities of the department. Participates in developing department goals, objectives and systems.
  • Develop and coordinate post purchase order Documentation Requirements with regards to the customer's 'project specific' needs.
  • Support customer post order needs with scheduled updates to the customer, coordinating with the customer in regards to concerns or change requests that may arise after Purchase Order placement.
  • Understand the relevant segmented landscape and structure for MCP.
  • Develop and maintain customer relationships.
  • Support Agencies, Representatives, and direct sales force on targeted capital projects, concentrating on the planning and acceptance of the order requirements.
  • Direct support and collaboration with the customer (I.e. chemical company, EPC, valve Co, etc.)
