Personal Assistant to Directors - Glasgow, United Kingdom - Bell Building Projects
Description
We are an established Main Contractor, based in Glasgow and Manchester, undertaking new build, refurbishment, facades and insurance reinstatement work within the industrial, commercial, residential and retail sectors throughout the United Kingdom.
We recently celebrated our 40th year anniversary of trading and have a proven track record in high performance project delivery within the Construction Industry.
Duties include:
- Manage calendar and scheduling requirements.
- General administration including, printing, preparation and issue of correspondence and record keeping.
- Assisting with the preparation and issue of sales and marketing information.
- Upkeep of the asset register and assisting with the procurement of software and hardware for new and existing employees
- Assist with the configuration of start up packs for new and existing employees
- Preparation and recording of induction paperwork and HR documentation
- Assist in organising, managing and hosting of events to maintain existing working relationships and develop new relationships.
- Liaise with our Client base and Consultants, as appropriate, to organise meetings
- Make timely decisions using independent judgment on a regular basis in a proactive manner.
- Handle and process mail and correspondence as required.
- Assist with presentations and prequalification questionnaires
- Provide support to commercial, construction and design departments
- Book cost effective travel and subsistence in accordance with the company policy.
- Drive team activities, including staff meeting agendas and notes
- Minute taking, preparing packs and presentations.
- Build strong relationships with colleagues across the business.
- Internal QA audits
- Oversee, and participate in, the administration of the tendering process
Requirements and skills:
- Excellent administration and interpersonal skills
- Conversant in Microsoft Office
- Attention to detail
- An ability to work to strict deadlines, prioritise workload and remain calm under pressure
- An ability to work independently but also participate fully as a team member
- Be extremely well organised and have experience in a similar environment and role
- A positive, 'cando' attitude
- Polite, courteous and professional
- Be detailoriented and passionate about continuous improvement
- Be able to multitask and juggle multiple projects and deadlines while maintaining a positive, proactive and professional attitude.
- Be comfortable working with a toplevel management team and handling sensitive and confidential information with the highest degree of integrity and discretion.
- Experience of a quality assured and accredited system of working
Job Types:

Salary:
£26,000.00-£30,000.00 per year
