Job Description:

Developing strong working relationships and regular contact with the Directors and wider EMEA team is key in this role.

The role itself includes but is not limited to the following:


  • Supporting the EMEA Director of Operations and Performance with adhoc projects, including:
  • Monitoring and chasing for business and budget planning submissions and high-level completeness check of submissions
  • Monitor shared inbox for questions and issues, or inboxes for Directors when on annual leave
  • Checking and loading information provided into online tool(s)
  • Managing user access to online tool(s), including working with the IT Service Desk
  • Assisting the EMEA Events Manager in administrative aspects of internal Learning and Development (L&D) events, training and client conferences
  • Play an active role in supporting the People and Culture Lead with the planning and execution of the annual Employee Engagement survey

Day to day duties:

  • Scheduling meetings and calls across multiple time zones gathering availability, sending invitations, booking meeting rooms, liaising with catering, managing responses, resolving meeting clashes
  • Preparing, collating and distributing materials for meetings and calls
  • Booking travel via Click-Travel including flights, trains, hotels and taxis
  • Presentation support formatting, reworking and proofreading
  • Arranging signing and distribution of legal documents (both original and electronic signatures)
  • Monitoring internal/external post and arranging couriers
  • Processing expenses

Qualifications:

  • Positive energy and a cando attitude
  • Confident user of Microsoft Office packages, particularly Outlook, Excel, Teams and PowerPoint
  • Accurate typing skills and high level of attention to detail for both text and numerical tasks
  • Good organisational and time management skills
  • Team player
  • Able to work under pressure
  • Clear and concise communication style (written and verbal)
  • Culturally sensitive (working in a region of 40+ EMEA countries)
  • Multitasker, confident with prioritising
