We have a great opportunity for a Private Assistant to support our fantastic ultra-high-net-worth clients at their estate in Oxfordshire.

You will support the Director of Global Operations and Personal Assistant with all administrative and clerical services to ensure effective and efficient operations.

Working in a relaxed environment and joining a lovely, welcoming team.

This position's primary responsibilities will be chasing action items, managing the diaries of the principals, researching on behalf of the Director and PA, and managing all personal administration.

This position has the chance to grow and develop in terms of responsibilities. The clients seek someone loyal and trustworthy who wants to stay with them long-term. You will be polished and direct in your approach to work and happy to lend a hand wherever required. You will be proactive and reactive, unflappable with changing plans, and remain calm in stressful situations.


DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Answer phone calls and direct calls to appropriate parties or take messages
  • Conduct research, compile data, and prepare papers for consideration and presentation by the head of security and personal assistant
  • File and retrieve documents, records, and reports
  • Greet visitors and determine whether they should be given access to specific individuals
  • Make travel arrangements
  • Perform general office duties, such as ordering supplies, maintaining records, managing database systems, and performing basic bookkeeping work
  • Read and analyse incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Arrange, plan and make appointments for the principals
  • Write letters on behalf of the principals
  • Dairy management for the family, Director of Global Operations and the PA
  • Prioritise conflicting needs
  • Agenda management of meetings
  • Maintain discretion and confidentiality of the principals
  • Organise renewals of policies and contracts
  • Attend meetings and events on behalf of the executives
  • Additional adhoc tasks when needed

ESSENTIAL CRITERIA:


  • Experience working in a similar position, ideally for UHNW principals
  • Live a commutable distance from the estate in Oxfordshire
  • Professional, wellpresented, and polished
  • Meticulous attention to detail
  • Great communicator and team player
  • Excellent IT skills
  • Loyal, discreet, and trustworthy
  • Proactive, adaptable, and efficient
  • Clean, valid UK driving licence and a confident driver
  • Excellent English in both written and spoken
  • Excellent checkable reference

Salary:
£45,000.00-£50,000.00 per year
