I am working with a Public Sector Organisation based in Gloucestershire who are looking for a Band 4 Assistant to the Directors for a Permanent position.

The role is full time, to start ASAP and paying Up to £26,282 per annum. The role is in scope of IR35.

Job Purpose

  • To provide a high level, professional and confidential executive support function to the Directors of Gloucestershire Managed Service (GMS)
  • The post holder must also work autonomously and using their own initiative with a sound understanding of the business of GMS and current practices to manage workload and ensure information is communicated appropriately and enquiries are directed correctly.
Duties and responsibilities

  • Support the management and delivery of GMS business as contracted by Gloucestershire Hospitals Foundation NHS Trust (GHFT) and the development of services across GMS through regular and effective communication, and the building of relationships with staff at all levels. Encourage staff involvement in the development of their services and GMS business plans.
  • Be a positive role model and actively promote the GMS vision and strategic aims and values.
  • Encourage teams to take pride in what they do, improve the care and services they provide and enable them to understand how they contribute to the success of the company
  • Show colleagues compassion and care by listening and offering empathy and understanding to help create a supportive workplace
  • Be alert to what is happening within the company and evaluate the information you hear, receive or discover to take actions and decisions that improve both patient and staff experience
  • Build relationships, both internally and externally, that can help everyone to deliver effective and efficient services. Liaise with senior representatives of partner organisations as required.
  • Engage with our team respecting every member of staff, valuing their diversity and making sure that every member of our team feels that their contribution is appreciated and valued
  • Hold yourself and others to account be clear about what's expected at work, giving honest feedback and acting quickly and fairly to support others who are struggling to meet expectations
  • Role model your own development and encourage personal development amongst the team to help to ensure our workforce has the skills and knowledge that will improve services for the future
  • Act as an ambassador for GMS, sharing good news and good practice with your colleagues, contributing to debates, having a say and leading improvement these are all ways of influencing what happens to our services in the future
Knowledge and Skills

  • Diplomatic when dealing with sensitive operational or people matters
  • Have effective organisational skills
  • Able to produce clear and concise written reports
  • Excellent communication skills (written and verbal) and have the ability to communicate with staff at all levels in the organisation
  • Understanding of confidentiality and security within a people services arena
  • Secretarial diploma or Equivalent
Experience and Qualification

  • Clear evidence of continual professional development
  • Educated to degree level in Business Administration or equivalent level of experience (5 years)
  • Proven experience of working to a senior executive level and delivering similar tasks to those outlined in the job description
  • Experience of working independently on nonroutine matters
  • Demonstrable experience of dealing with matters of a highly sensitive and confidential nature
  • Experience of executive level minute taking and in preparing reports and action plans
