We are currently recruiting for an Office Administrator (full or part-time) to join the Traffic Office at our Logistics Hub in Annat, Fort William.


Purpose of Job (Why does this job exist)

  • To help within the Traffic Office and assist with answering phone calls, communicating with drivers and ensuring accurate information is passed onto traffic planners, general office filing and administration.
  • Ensure the company policies relating to Safety, Health, Environment and Quality (SHEQ) are complied with and upheld at all times
  • Ensure that other relevant company and department policies and procedures are complied with and upheld at all times

Working as part of a dynamic team, duties will include:

  • Being a member of the transport team; liaising regularly with the rest of the team
  • Working within a fast paced busy office environment
  • Provide First point of contact for queries via telephone and in person
  • Ensure all enquiries are recorded on the enquiries spreadsheet
  • Take and pass messages from drivers to traffic planners
  • General traffic office administration, copying and filing
  • Assist with document control
  • Daily working with data spreadsheets such as trailer boards, empty running's and daily lorry counts
  • Daily input to the Haulier system
  • Ensure the subcontractors insurance details are up to date and accurate
  • Liaising with Transport Planners & Managers daily
  • Providing administrative support and assistance
  • Maintenance of records/ updating internal IT systems
  • A good working knowledge of Microsoft Office, particularly excel,
  • A good telephone manner and the ability to prioritise their workload.
  • Superb time management and organizational skills.
  • Exceptional interpersonal, communication, and collaboration abilities
  • Great problemsolving and analytical skills.
