Role and Responsibilities
Post Completions
- To prepare and send registrations to the Land Registry ensuring that any special requirements are dealt with correctly.
- To diarise all priority periods and ensure registrations are submitted within them in a timely manner. If a registration cannot be submitted or resubmitted for any reason, to ensure the OS1/OS2 searches are redone and priority retained until the registrationis submitted.
- To deal with any requisitions raised by the Land Registry with assistance where needed.
- To quality check completed registrations before final fee earner approval.
- To check the lender's requirements and then send a copy of the registration (TID) and any other required documents to the lender and a copy of the TID and the remaining documentation to the client once registration is complete.
- To diarise any retentions and deal with the retained monies in the appropriate manner, with assistance if needed.
- To check the files all have a nil balance preclosure and if not to deal with any balances on the system.
- To prepare all completed conveyancing files for closure and then close the same and send the files for archiving.
- To prepare correspondence and documents through visual files
- To administer filing of paperwork
- To arrange for all copying to be done, in person if the office Assistant is not available to undertake the task
- To attend clients and external contacts both in person and on the phone and provide such support in a professional, efficient and friendly manner in keeping with the Firms standards of client care.
- Chase all outstanding client care paperwork and ID
- Liaise with enquiry handlers
- Request redemption statements and freeholder information
- To assist with the Conveyancing enquiries when required to cover this post during absence, holiday or busy periods as and when required.
- Business Development
- To seek to maximise internal and external referrals
- Maximise fee income for the department and Firm by converting as many opportunities as possible into new clients/ new matters
- Identify additional business opportunities/cross referral opportunities and acting on such opportunities
- To deliver a first class (internal and external) client service
- To attend and represent the department at meetings, as required
- To undertake any other appropriate duties as may be required
- To cooperate with and take part in the Firm's performance management scheme
- To demonstrate support for the Firm's Vision and Values
- To ensure compliance with the Firm's Lexcel policies
- To ensure confidentiality of all the firms' and clients documentation and information
- To demonstrate competence in relation to office procedures and the firm's technology
- To ensure compliance with the Firms GDPR rules and procedures
- To ensure compliance with the Firms Cyber Security training, rules and procedures
- Work with supervisor to suggest updates to the Conveyancing systems and flows
- Support the Conveyancing transition towards PaperLite working
