Role Overview


This role is to provide project administrative support to both the Rail and Advance group, analysing and inputting data into various business systems to ensure compliance KPIs are maintained to support business operations and growth.


What you'll be doing

  • Coordinating group events, activities, and operations to support the group while complying with company policies and initiatives.
  • Collating routine (weekly / fortnightly / monthly) reports from business systems to review with Directors and Managers for operational matters, such as Timesheets, Fee Forecasts, Debt, Invoicing, Opportunity and SHQE topics to ensure a high standard of compliance is achieved.
  • Inputting to and maintaining spreadsheets/databases/within various management information systems
  • Conducting a regular review of progress on yearly group objectives.
  • Setting up new projects/clients/suppliers on our business systems
  • Maintaining accurate records of group and project documentation, following our document control procedures, and ensuring all documentation meets formal requirements and standards.
  • Processing all incoming correspondence and produce all outgoing correspondence.
  • Producing a project directory and update accordingly.
  • Assisting with the production of project reports and updating project trackers, using BWB standards and project templates.
  • Liaising between internal teams.
  • Raising purchase orders for group and project requirements.
  • Sitting in on project meetings to record meeting minutes and actions.
  • Supporting the group director and managers in communicating key messages and information.
  • Assisting with the regular conduct of project reviews to ensure project information is correct and that the relevant procedures are being adhered to.

What you'll bring

  • A Friendly and approachable attitude with good communication skills (written and verbal).
  • A motivated, efficient, and highly organised approach.
  • Keen attention to detail.
  • Excellent working knowledge of Microsoft Applications and Adobe Acrobat or FoxIT.
  • An ability to take ownership of own workload, prioritise tasks and meet challenging deadlines.
  • The ability to respond to changing priorities.
  • The ability to work proactively either independently or as part of a team.
  • Experience gained from other similar business administration roles, a minimum of 2 years experience.
  • Working knowledge of Deltek VantagePoint advantageous but not essential.
  • HND/A-Level/NVQ (Business Administration) Level 3 or demonstration of equivalent experience.
  • 5 GCSEs at minimum Grade C/5 and above to include English Language and Maths.
