JOB OVERVIEW


The University of Sheffield International College (USIC) is seeking to appoint an experienced, well-organised administrator to coordinate and provide administrative support for the College's key curriculum processes.

Duties include servicing the College's curriculum meetings, committees and examination boards and providing vital administrative support for key curriculum-related processes.

Further duties include support to Senior Leadership Team and close collaboration with Academic and Student Experience Teams in relation to e.g., Special Circumstances or Student Disciplinary processes.


KEY RESPONSIBILITIES

  • Providing administrative support for meetings, curriculum committees and external visitors, including arranging meetings, agenda management, notetaking, preparing meeting papers and arranging hospitality.
  • Supporting the Module Review process, including the creation of templates and guidance documentation, as well as the management of associated resources designed to support the tracking of progress in this area of work (e.g. spreadsheets). Coordinating the collation of these documents for dissemination at the Curriculum Board.
  • Supporting the Head of Quality Assurance, Enhancement and Innovation in tracking progress against the Centre Action Plan and collecting relevant evidence.
  • Supporting the design and development of the curriculum, including maintaining the project plan, proofreading key documentation, providing administrative and clerical support for meetings and liaising with colleagues across the Curriculum Team, as well as key stakeholders in the University and wider Study Group network.
  • Providing administrative support (including diary management) to the Senior Leadership Team, creating and maintaining resources (electronic and printed) to assist in the planning and delivery of strategic and operational objectives (e.g. calendar of activities; staff timetable information; organisational charts; action trackers).
  • Providing administrative support for the Student Code of Conduct and Disciplinary Process, including letters inviting students a hearing, taking minutes or writing to students about the of the hearing.
  • Liaising with colleagues across the College to ensure the effective flow of information between the various committees and groups involved in the delivery of teaching and learning activities.
  • Providing administrative support to the Heads of Subject and Student Outcomes Leaders, where required (e.g. action trackers, module specifications, module handbooks, behaviour warnings).
  • Providing resources and support for the Quality Standards Coordinator and any other Student Experience function, as required.
  • Carrying out any other supportive duties, as required by the Senior Leadership Team.

EXPERIENCE REQUIRED

  • Educated to GCSE level (including English & Maths) or equivalent or relevant experience.
  • Excellent communication skills and the ability to communicate with a variety of stakeholders, written and verbal, internal and external.
  • Cultural appreciation and empathy skills.
  • Energy, enthusiasm and passion for working with young, international students in an educational context.
  • Experience of working with administrative systems in higher education, further education or schools.
  • Ability to solve problems by a thorough investigation.
  • Ability to consider potential issues and put measures in place to deal with implications
  • Be able to work effectively in a fastpaced environment with staff, students, and external clients.
  • Proven ability to extract reports and analyse data for reporting, to aid decision making or to support a case for change.
  • Ability to work collaboratively within a team and across functional areas, adopting a flexible working style.
  • Diligent record keeping
  • Ability to understand other team's functional areas
  • Familiarity with data protection regulations surrounding student data.
