A unique career opportunity has arisen to become a key member of Complete Fertility Centre Southampton, (based at the Princess Anne Hospital).


Originally established in 2010, Complete Fertility is part of the Virtus Health Family of fertility clinics, and the first in the UK.

We are a close-knit and supportive team of around 60 staff, with a focus on patient care, research, and innovation.

With close links to the University of Southampton, we regularly participate in exciting large scale multicentre clinical trials.


We are seeking a receptionist with excellent customer service and organisational skills to support the clinic with the day-to-day administration duties.

The position is available immediately.


Job description

Location:
Complete Fertility, Princess Anne Hospital, Coxford Road, Southampton

Relocating to Chandler's Ford in Summer of 2023


Accountable to:
Admin Manager

Hours of Work: 37.5 hours per week Monday - Friday, will require some evening work on a rota basis. Full time and part time applicant will be considered.


Salary:
Offering from £20,319.00 dependent on experience.


Main Purpose:
To ensure the maintenance of a positive welcoming point as a representative

of the Clinic and to provide a clerical and administrative support service

to the fertility unit.

Job Outline

  • Act as receptionist and liaise with medical and admin staff to ensure the smooth running of the department.
  • Receive and register patients and visitors in the department and notify company personnel of arrival.
  • Ensure that any changes of patient's personal details are amended on the database and recorded in their file immediately.
  • Maintain an efficient appointment system and ensure that the clinic notes are obtained and prepared the day before the clinic.
  • Ensure that patients and visitors to the unit are dealt with courteously.
  • Send out information packs when requested.
  • Make follow up and scan appointments as required.
  • Respect patient and staff confidentiality at all times.
  • Ensure that reception and patient waiting areas are clean, tidy, well maintained and ensure leaflet and refreshment stock replenished.
  • To distribute post or deliveries as necessary.
  • To undertake photocopying of various documents and patient records.
  • Assist in departmental audits and provide figures as requested.
  • Request hospital notes when required and collect from Medical Records.
  • To undertake training appropriate to the current or future demands of the post.
  • To be flexible in working hours. Some evening work will be required.
  • Where necessary, provide cross cover for other members of the Admin team.
  • Raising invoices for services provided and prescribed medication, also taking payments either via phone or at reception.
  • Maintain efficient process flows and close enquiries in a timely manner.

The successful applicant must:


  • Have at least 2 years' experience working in a busy administrative role.
  • Have at least 2 years' experience working in a front of house reception role.
  • Have NHS or private healthcare administrative experience (desirable).
  • Work flexibly as part of a multidisciplinary team.
  • Have evidence and/or qualifications in Customer Service training in a previous role (desirable).
  • Have experience of call handling and dealing with customer enquiries or concerns.
  • Be happy to go the extra mile by proactively communicating, solving problems and building relationships with our patients to ensure that they receive an excellent patient experience.
  • Have a willingness to work positively with the team to achieve goals and ensure excellence in service delivery.
  • Be highly motivated, with excellent communication and strong interpersonal skills with the ability to work effectively in a team environment as well as independently as required.
  • Be able to build excellent relationships with our patients, directors, and consultants.
  • Be methodical and accurately maintain records.
  • Have an awareness and understanding of the issues that our patients are facing with regard to assisted conception.
  • Promote a positive culture amongst the team and lead by example
  • Liaise with other stakeholders with regard to matters of service development.
  • To undertake other duties as and when required by the demands of the service, or by the Admin manager.
