Based in HammersmithOffice Based Role - Term time only - will work 4 weeks in holiday period - 40 weeks per year
An outstanding Preparatory School in Hammersmith are looking for a Finance & Purchasing Administrator to join their team.
As a Finance & Purchasing Administrator, you'll play a pivotal role in ensuring the smooth financial operations a of the school, being responsible for all purchasing requirements as well as general administrative duties.
You will need to have previous experience in a busy environment, purchase ledger duties, processing orders, a high attention to detail and well organised.
Key Duties:
- Placing all orders for goods and services ensuring that the best quality goods and prices are obtained.
- Monitor and followup the orders to ensure deliveries are made on time.
- Dealing with telephone queries from suppliers and staff regarding orders.
- Ensure all goods received are fit for purpose and followup with suppliers regarding any damaged or faulty items, arranging for goods to be returned.
- Maintain accurate supplier details in the purchase ledger and ensure any changes are recorded
- Maintain a list of preferred suppliers
- Reconcile invoices to purchases orders and input on to the accounting system
- Reconcile supplier statements to the Purchase Ledger and respond queries from suppliers relating to payment dates of invoices.
- Maintain stock control of whole school stationery requirements.
- Prepare a monthly reconciliation of credit card statements.
- Booking of transport for trips and sports games, training courses and renewal of subscriptions
Experience & Skills Required:
- Experience in finance department within School or similar charity environment desirable
- Word, Excel and using accounting packages
- Experience of ordering supplies, raising Po's and purchase ledger
- Excellent interpersonal and communication skills.
- Ability to work under pressure and to deadlines.
- High attention to detail and an orderly approach to processing.
- The ability to develop effective and productive working relationships at all levels.
