Location - Peterborough
Full time (Hours: 37.5 hours Monday to Friday 9am - 5.30pm.)
OR
Part time (4 days per week)
Hybrid working
As a Team Assistant you will provide proactive and professional legal support, working with every member of the Employment team who are based across our three offices to ensure that the department's administrative needs are met.
Responsibilities include but are not limited to:
- Entering details onto relevant databases, such as Companies House.
- Entering daily post onto our case management system correctly and distributing within the team.
- Undertaking regular reviews of files, checking account balances to ensure that all files which are not current are archived.
- Taking accurate phone messages, trying to assist and answer any nonlegal queries if possible.
- Working with the Risk & Compliance team to onboard new clients and open files.
- Developing good knowledge of the Firm's accounts procedures to respond to queries including: cheque requisitions, BACS authorisations and procedures to process client monies.
- Managing the billing process, preparing invoices using IAFs, aswell as checking for monies on account and to see whether bills have been paid.
- Run weekly matter reports and weekly debtors reports for the Department Manager.
- Arranging internal team meetings, collating and preparing information for internal meetings, producing agendas and preparing / circulating required papers.
- Team diary management including arranging meetings and appointments, both internally and externally.
- Making travel, lunch, meeting room and accommodation arrangements for team members/
- Arranging internal team social events.
Over time, your role may include providing fee-earning support to our Lawyers, including:
- Ensuring documents are filed onto our case management system correctly.
- Printing and preparing tribunal bundles and binding.
- Typing attendance notes and letters.
- Conducting searches e.g. on Companies House and Creditsafe.
You will also:
- Provide a Front of House reception service for the Peterborough office, on a rota basis. Meeting and greeting clients and visitors, answering calls and managing enquiries to the reception inbox.
- Work with other Team/Office Assistants and Paralegals in the firm with a view to providing holiday, illness and other necessary cover to agreed standards. In particular, this will include providing cover for our Employment Team Assistant on their nonworking day (Thursday).

- Strong organisational skills with the ability to prioritise workloads and keep a levelheaded approach in a busy working environment.
- Uncompromising attention to detail.
- The ability to communicate effectively and confidently at all levels both internally and externally and to establish and maintain good working relationships including the ability to adapt to a range of different working styles.
- A proactive, flexible, cando approach to highlight issues and suggest possible solutions and improvements, and take responsibility for getting things done.
- Experience of handling confidential information and maintaining confidentiality.
