Description

The Transport/Despatch Coordinator role is based on site in Willerby HU10 6EB & is a key role within our business.

Image Data Group are a family run business with sites in Hull, Howden & Brighton, operating at the forefront of marketing communications, providing print solutions/products since 1989.

We deliver innovative visual communications for the UKs leading retailers & corporations from banners, tension-fabric light boxes to presentation brochure packs & office stationary.

As Transport/Despatch Coordinator, your role is to help ensure the smooth running of the despatch office to ensure our printed products are ready & dispatched correctly in a timely manner.

Your hours of work are 37.5hrs per week working Monday to Friday, 8:30 AM to 5:00 PM, but flexibility is required to accommodate business demands.

MAIN FUNCTION:


To work closely with Finishing & Despatch teams to ensure all despatch processes are carried out in a timely manner to ensure customer delivery targets are met.


KEY TASKS:


  • Analyse work schedule and assess jobs for despatch, formulating plan for optimum usage of drivers/vehicles ensuring deadlines are met.
  • Prepare jobs for despatch, issuing relevant paperwork, checking status of work, progress chasing work through the finishing process and checking all complete and correct before jobs are loaded.
  • Re-pack and palletise jobs as required, palletising jobs as necessary to ensure despatch is as determined.
  • Analyse delivery destinations and plan drivers' routes to ensure optimum utilisation of vehicles ensuring deadlines are met.
  • Build and maintain effective working relationships with courier suppliers to ensure company delivery/collection needs are met.
  • Prepare jobs and generate labels for courier despatches ensuring that all required information is correct and in line with customer specification.
  • Arrange additional transport as required and record details on spreadsheet promptly and accurately to ensure up to date records are kept.
  • Ensure proof of delivery records are promptly scanned into the relevant jobs to ensure complete record is kept.
  • Liaise with the Account Management teams to resolve despatch related customer queries in an efficient and timely manner.
  • Using MIS system allocate cost of packing and despatch to jobs to ensure accurate record is held.
  • Conclude fixed cost jobs on MIS system, inputting relevant data and passing info through to the Accounts team for invoicing.
  • To ensure all work related documentation is completed accurately so that a true record is available at times.
  • To work in any department & carry out required duties as directed to contribute to the overall success of the company.

PERFORMANCE INDICATORS / TARGETS:


  • Analysis of POD information to ensure deliveries are accurate and timely.
  • Monitor & evaluate feedback relating to despatch and labelling.
  • General cleanliness/tidiness of all areas.

KEY SKILLS/KNOWLEDGE REQUIRED:


  • Previous experience within despatch/similar role highly desirable
  • Knowledge of the Print industry highly desirable
  • Keen eye for detail and high level of accuracy
  • Ability to think ahead and quickly identify potential issues
  • A flexible and adaptable approach
  • An ability to work as part of wider team to meet tight deadlines
  • A willing aptitude to develop new skills
  • A sound general knowledge of the operating procedures
  • To be an effective team member
  • Have the ability to work to tight deadlines and to changing priorities
  • A helpful, resilient and co-operative attitude
