The post holder will be responsible for the provision of an effective administrative and secretarial service to a Consultant(s) and their team within a clinical unit.

He/she will liaise with the multi-disciplinary team, internal departments and external agencies to ensure continuity in achieving excellence in patient care.

This job description is generic and posts will differ in emphasis depending upon the size of the Consultant's clinical practice and administrative team therefore this post may develop over time to meet the specific needs of the Clinical unit.

Trust Policies.

  • Maintain effective communication (verbal/written) with consultants, G.P.'s, patients etc
  • Give guidance and support to new and temporary secretaries when required, acting as a Trainer / Coach / Mentor as appropriate.

  • To provide a full secretarial service to the Clinician/s including audio typing/transcription or processing of clinical letters (some of a distressing nature), reports and other relevant clinical records, ensuring that quality standards are me
  • To act as the first point of contact for users of the Trust, dealing with telephone calls and enquiries promptly and efficiently, providing immediate response and referring as necessary. These will include personal enquiries from patients and their relatives, as well as calls from GP's, clinicians, students, nursing and administrative staff, at all times understanding the sensitive nature of calls.
  • To act as first respondent when dealing with enquiries/issues/complaints from patients, G.P.'s etc. to ensure satisfactory outcome.

INFORMATION GOVERNANCE

  • All staff must be familiar with and comply with the contents of the Information Governance Handbook, a personal copy will be provided at Induction to all staff.
  • All staff are required to maintain confidentiality of patient and Trust's information as set out in the Trust's Confidentiality Policy.
  • All staff are required to read and comply with all policies that are issued relating to the electronic security of Trust's information.
  • All staff who create, access, transfer, modify sensitive Trust's records have a responsibility to be both accurate and timely and ensure that all the information that they record either on paper or electronically is complete.
