A vacancy has arisen for a Speciality PA to join the Family Health Paediatric admin team based at the Nottingham Queens Medical Centre Campus.


Working as part of a team the post-holder will provide a high quality administrative service to consultants and their teams.

You will be a conscientious and enthusiastic team player with excellent organisational and communication skills, and be well motivated and reliable.

Main duties of the job

In addition to the summary you need to familiarize yourself with full Job Description and Person Specification documents attached.


You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure.

You will be able to work as part of a team to ensure the smooth running of a busy department.

Accurately transcribe clinical letters using Winscribe, producing high quality work within defined deadlines.


The successful applicant will have obtained 5 GCSE passes which will include English Language and Maths at grade C or above, will have a word processing or typing qualification (or experience); NVQ level 3 in Administration or equivalent experience.

The successful applicant will have excellent audio typing skills and be competent in the use Microsoft packages. Work based experience within hospital or health care setting is desirable but not essential

Detailed job description and main responsibilities

To manage Advice & Guidance requests.

Accurately transcribe clinical letters using Winscribe, producing high quality work within defined deadlines.

Use judgement and initiative to prioritise the importance/urgency of tasks within defined guidelines.

Establish and maintain admin systems/databases.

Dealing with incoming mail, results/reports management.

Attending/organising meetings, take minutes.

Ensure RTT patient data quality is accurate.

Key point of contact for consultant.

Dealing with consultant queries/visitors, managing consultant diary.

Telephone calls inbound/outbound relating to patients specific care, in a confidential manner.

Typing of clinical letters as required.

Training & Qualifications

Essential criteria

  • Minimum 3 GSCEs or equivalent to include English Language
  • NVQ level 3 in administration or equivalent
Desirable criteria

  • ECDL or equivalent ICT
Experience

Essential criteria

  • Minimum of 2 years secretarial experience
  • Audio Typing experience
  • Minute taking experience
  • Experience in using Microsoft Office
Desirable criteria

  • Knowledge of National RTT targets
  • Knowledge of hospital IT systems, e.g. Medways PAS, Notis and Winscribe
Communication and relationship skills

Essential criteria

  • Must be able to clearly and accurately convey information verbally and in written format
  • Can complete letters, forms, reports & tables using computerised technology from information collected
  • Maintain confidentiality, sensitivity and empathy in communication with patients/colleagues
