Project Coordinator & Executive Assistant**
About the Role
Providing senior level operational and administrative support and project coordination to the Director of Estates and wider team to support the successful delivery of the Estates Strategy and a wide range of Projects.
Duties and Responsibilities
Project Support & Coordination
- Working closely with and supporting key stakeholders and the Project Teams to facilitate the successful delivery of a variety of projects
- Coordinating and administering the Project Register, Project Plans and associated action trackers and tools to support successful project delivery
- Arranging, attending Project Meetings both on and off site to Chair, deputise and / or manage outcomes and actions as required
- Implementing effective systems for the efficient and effective coordination of projects to include:
- Updates to Project Plans
- Action management and resolution
- Scheduling and administering Project Meetings
- Cost schedules
- Providing regular project updates to key stakeholder in person and via robust reporting
Governance & Operational Support
- Working closely with Department Heads and other key stakeholders to coordinate and support Annual Operating Schedules, identifying arrears of slippage, providing regular progress reports to the Executive Leadership Team and supporting key stakeholders with its implementation and successful delivery
- Coordinating and administering senior level meetings in line with the corporate governance framework, arranging and facilitating meetings, acting as Chair as required, issuing agendas, managing papers, coordinating actions
Diary Management & General Administrative Support
- Providing administrative and operational support managing diaries, schedules and making arrangements for travel and meetings

- Liaising and corresponding with internal and external contacts
- Attending meetings both on and off site to deputise, chair, manage actions as required
About You
- Educated to degree level or relevant professional qualification (desirable)
- Experience of providing administrative support and coordination at Exec Level
- Experience of coordinating / supporting delivery of projects and / working to project plans
- Experience of minuting and facilitating meetings as well as of recording and following up on action points
Salary Scale:
£34,000 - £37,000 per annum
