Role purpose
We currently have an opportunity for a Document Controller within our Major Projects side of our UK Fit Out Division.
This will be part of a team working with some exciting clients to create outstanding commercial office spaces, involving both large Cat B fit outs and full refurbishments.
To provide day-to-day oversight of the pre-contract and contract document controlTo control the large number of documents received daily, ensuring that all drawings are administered and distributed promptly
To create an accurate, efficient and user-friendly filing system ensuring that documents are flawlessly tracked, and awareness is maintained of the status of each item
To continuously prioritise documents by maintaining an awareness of project progress at all times
Creating customised reports for the Project Team and Design Team is also a key factor of the Document Controller role to ensure smooth communication and to minimise Designers response time
Key accountabilities
Assist the site project team in site set up
Manage and maintain the project on Aconex throughout its life cycle
Ensure all relevant parties publish relevant document to Aconex and provide support to external parties when necessary
Maintain an awareness of project team members, trade contractors and professional partners and the part they play in successful project delivery and of ongoing activities e.g.
client, trade contractor, architect, QS etc.Establish from outset a close relationship with Construction Manager and Project Manager to ensure smooth running of the system
Ensure that an effective internal and external review loop is maintained so that all documents are properly reviewed by the Project Team and external Design Team
Provide accurate and timely information and reports regarding the status of all drawings / O&M manuals / samples / method statements / risk assessments, etc.
Typing, distribution and filing of all project related correspondence for the project team.Ensure that all relevant information is issued to the relevant trades and consultants
To log, distribute promptly and keep updated various instructions from consultants, clients, project managers etc.
Managing the approval, printing of O&M manuals and ordering of reprographics and couriers if required
Archiving of project documentation
If required manage the input of snags on SnagR - company snagging system
Ordering and maintaining stationery supplies and checking all provisions
Skills & experience
Experience using an electronic document control system (ACONEX)
Knowledge of document control and/ or construction industry processes/ terminology preferable
Experience of working on a construction site environment (in a similar role) preferable
Proven planning and process management skills
Advanced knowledge of Word, Excel. PowerPoint and Lotus Notes preferable
Attention to detail and accuracy
Methodical approach to duties
Accurate typing skills with a minimum speed of 60 wpm
Must be able to communicate articulately, positively and effectively
Enjoys working in a fast pace, changing and demanding environment.
Has a proactive and 'can do' attitude
Able to continuously prioritise tasks to suit the Project's needs
Tolerance of stress, stays focused under pressure
Ability to build rapport with project team and wider professional team
