About the Role:


As a QHSE & HR Administrator, you will be the first point of contact for customers seeking Compliance and H&S information and you will assist the QHSE Manager and HR & Business Support Manager to fulfil the department's responsibilities.


This is a part-time position working 16 hours a week to begin with however, more hours may be available in time, so a degree of flexibility is required.


Key responsibilities within this role include:

  • Monitoring and responding to the department's Compliance mail box
  • Completing Customer H&S/Compliance questionnaires (forms and portals)
  • Administrative updates of Risk Assessments, COSHH, Policies (as per H&S Manager)
  • Updating other QHSE and HR documents as required
  • Maintaining H&S accreditation portals (CHAS, Safecontractor, Constructionline, Avetta, Altius)
  • Coordinating subcontractors' approval process
  • Arranging and recording H&S training
  • Completing and recording DBS checks
  • Arranging and recording fire extinguisher servicing
  • Completing and recording annual driving licence checks via DVLA's website
  • Carrying out and recording DSE assessments
  • Ordering and recording first aid kits
  • Recording accidents and maintaining accident statistics spreadsheet
  • Scheduling H&S meetings, producing agendas and taking minutes
  • Minuting HR meetings
  • Creating new starter packs
  • Dealing with any leavers scan and save leavers folder
  • Completing and coordinating security clearances for Service Engineers
  • Scheduling QHSE & HR reminders
  • Assisting the QHSE Manager with any other tasks as required
  • Assisting the HR Manager with any other tasks as required
  • Covering Reception during holidays and sickness
  • Keeping QHSE instructions folder updated with new instructions and process changes.

Essential qualifications, experience, skills:

  • Strict adherence to confidentially
  • Excellent knowledge of MS Office (Word, Excel and Outlook)
  • Experienced administrator
  • Flexibility on hours/days worked
  • Highly motivated and organised
  • Ability to multitask with attention to detail
  • Able to communicate effectively
  • Minute taking experience
