Purpose of the Role


The Cleaning and Security Manager is responsible for the high standard of delivery of soft services (cleaning and security) within the Centre and Car Park.

They are required to provide a safe and pleasant environment for our customers and tenants at alltimes, through the monitoring of Health and Safety systems and procedures and the promotion of best practice through all tasks.

As the Soft Services Manager you will demonstrate excellent communication skills and be a strong leader.

You will be expected toensure the smooth running of the Centre and the Car Park preserving an environment where employees, visitors and property are safe and well-protected.


Key Responsibilities


Act as an Ambassador of Buchanan Galleries at all times by providing an excellent standard of customer service, and through good leadership skills encouraging all Cleaning and Security operatives and Controllers to provide the same excellent service.


Responsible for the management of small projects specific to the Operations Department as agreed with the Operations Manager/Assistant Operations Manager.


Responsible for monitoring and reporting of relevant key performance indicators (KPIs) in line with the Centre Manager's Consistency Pillar KPIs.

Responsible for providing a continuous improvement review and development of initiatives to improve performance and develop full customer engagement.


Oversee scheduling of holidays and preparation of rotas for scheduled and unscheduled absences to ensure adequate cover to maintain a safe and pleasant environment for our customers.

Complete annual Personal Development Reviews on all members of staff, making all such records available for examination.


Monitor Health & Safety and the promotion of best practice throughout all tasks, ensuring staff adherence to all H&S procedures, including COSHH.

Schedule staff and oversee any specialist tasks such as promotions and specialist cleaning.

Ensure uniforms are always worn and are to a high standard of presentation.

Ensure protective clothing and equipment is worn (as required) and that these items are fit for purpose at all times.

Appraise Line Manager of staff issues/staff shortages and seek assistance to resolve any issues if required.

Assist with the recruitment, training and supervising of customer service officers, security controllers, car park security and cleaning.

Assist with employment relations including absence, interviews, discipline, etc in accordance with company personnel procedures. Inform Line Manager of matters that may lead to disciplinary action.

Investigate and resolve minor complaints, appraising your Line Manager of more complex matters.

Deliver staff and retailer inductions and staff training. Maintain staff training matrix.

Participate in a positive way in all team and management meetings.

To ensure all damaged or faulty equipment is dealt with in a timeous manner.

Complete timesheets, to the agreed deadline, and assist with other necessary paperwork as requested by your Line Manager.

Attend training courses as required.

To carry out any other reasonable request by the Line Manager

Undertake weekend and late night working as dictated by the needs of the business, assuming Duty Manager responsibilities.


Cleaning
Responsible for monitoring and setting the standards required to ensure a clean and safe environment at all times.


Ensure that daily checks are undertaken of the common areas within the centre and car park and that all necessary remedial works are undertaken within a reasonable time period.

Where remedial works are required immediately, the area in question must be cordonedoff and made safe for all visitors, tenants, etc.

Oversee the ordering of materials and consumables and ensure purchasing remains within the budget provided to you.

Oversee and record waste management process and data collection.


Security
Assist in the development and implementing security policies, protocols and operating procedures, and adherence to SIA guidance.


Co-ordinate the smooth running of the Centre and Car Park and assist with all situations including emergencies, evacuations or incidents as they occur.

Oversee all security administration to ensure it complies with statutory and client requirements.

Provide feedback to Centre Management on performance and adherence to control measures of both the security and car park.


Oversee the Car Park in respect of the timely pulling of reports and the management and escalation of any discrepancies to the Operations Manager.


Skills, Knowledge and Experience

Essential
Previous experience of working in a similar role.

Able to work under pressure to deadlines.

Ability to work on own initiative and be able to cope with demanding situations as they arise.

Good understanding of health and safety requirements.

Ensure a safe and secure environment for customers and staff.

Flexible approach to working patterns.

Good interpersonal and communication skills.

Experience of preparing written reports.

Must be in possession of a valid SIA Licence.

Honest and reliable work ethic.


Desirable

  • In possession of a valid first aid at work certificate.

  • Valid CCTV SIA Licence
