Job description:


This is an exciting opportunity to join the Client Solutions team, supporting the three deputy directors within the team (the Client Relations, Strategy and Business Development Deputy Directors).


This role requires someone with a collaborative, constructive and positive attitude who will be able to work effectively with colleagues in client solutions and across the wider department.

This is a varied role in a fast-paced environment and will require someone who is flexible, organised, and motivated.


As an Administrative Assistant, your responsibilities will typically include providing support to the client solutions deputy directors, the team, clients and your wider GPA colleagues.

Responsibilities include but are not limited to

  • Professional administration support for the deputy directors including managing the flow of work, maintaining trackers, reviewing and prioritising incoming correspondence and actioning tasks and requests.
  • Anticipating future business needs to enable the client director and their Senior Leadership Team to operate effectively and efficiently, analysing business issues/problems and either implementing or recommending solutions.
  • Coordinating commissions to the client solutions team that will feed into larger returns ensuring commissioned material is received on time and is of acceptable quality. Identifying requirements, sources and gaps, minimising the direct impact on delivery teams.
  • Developing and overseeing the Directorate business and engagement meetings, organising logistics and ensuring materials are commissioned, produced and provided to support meetings/events, and that accurate notes are kept and actions are tracked.
  • Providing professional, timely and effective day to day management of the diary and shared inbox; ensuring that it meets the required standard; identifying issues as they arise and ensuring they are efficiently dealt with; make sure that the deputy directors are briefed for high level meetings in advance.
  • Building and maintaining effective working relationships across the GPA Directorates, wider Civil Service and senior stakeholders. Dealing with staff at all levels will require excellent interpersonal skills, a polite firmness, and an ability to react quickly to a changing environment, often thinking on your feet.
  • Data management including shared folders and handling requests for information and data.
