About this career opportunity
An exciting opportunity has arisen in our Edinburgh office for a team co-ordinator to provide robust and proactive assistance to all team members, including leaders.
This is a pivotal role within a busy team and will make a significant impact on how the team operate and engage with our clients.
The role will involve being the 'go to' person within the team, combined with some Personal Assistant duties for the Leadership Function within the team, this will enable colleagues to produce quality deliverables and ensure smooth operations.
You will make an impact in this role by supporting the team in project administrative activities in line with client requirements - this will include high-profile project work as well as routine administrative tasks, for example supporting on workload spreadsheets, gathering finance information to support invoicing, or supporting the project team and preparing documents or reports to the team leadership in adhering to internal procedures.
As a Team coordinator you will produce high-quality documents in line with the Arup brand for internal or external purposes, proofreading content to ensure consistency and style, editing and making suggestions for improvements to text and presentations, preparing draft PowerPoint presentations if required.
Working collaboratively with both project and business development and marketing teams in work-winning activities - preparing bids, PQQs and preparing documentation such as CVs, project sheets, etc.
Is This Role Right For You?
- Experience in a similar role, ideally in professional services, multidisciplinary environment.
- Be experienced in standard office administrative procedures and project administrative activities per client requirements.
- Attention to detail, diary management, attending meetings (internal and external) taking notes/actions/minutes
- Proactively identifying where to provide support to team members based on prioritisation. You will be able to demonstrate excellent judgement in determining how and where to invest your time for maximum impact.
- Demonstrate sound knowledge of Microsoft packages, including solid PowerPoint skills and ideally SharePoint.
