An exciting opportunity has arisen within the Bowel Cancer Screening Programme.

We are looking to recruit a new team member to work cross site at Nottingham City Hospital and King's Mill Hospital, as part of a fast paced dynamic admin team.

To work as part of an established small team to ensure the smooth running of the Programme. Answering the phone and taking messages and answering enquiries from patients. Booking clinics and procedures, creating correspondence and supporting the Programme Manager.

We are a rapidly growing Screening Centre for Nottinghamshire and are currently rolling out an age extension for 50-60 yr olds we currently invite all 60-74 yrs olds registered with a GP to take part in the national BCSP every 2 years.

We are also introducing Lynch Syndrome patients into the programme

Detailed job description and main responsibilities

Front line receptionist to telephone queries and to service office. Taking messages and monitoring that they are relayed to clinical staff in an efficient manner.
Creation of BCSP packs for BCSP pathway, including administration functions of Bowel scope screening.
Creation of new medical patient notes for 1st positive assessment clinic, and retrieval and collection where necessary.
Commencing and monitoring BCSP episode on hospital I.T. systems (Medway). (1st positive assessment, surveillance and results clinic are outcomed by BCSP).

Responsible for booking in all surveillance patients to endoscopy waiting system (Medway & Webhiss) and the sending out of bowel cleansing preparation.

Responsible for filling all episode documentation and mailing relevant correspondence to patients and GPs.
Liaison with other screening sites and BCSP staff regarding patient and professional queries.
Communication with Cancer Centre regarding cancer referrals and the retrieval of notes for SSP post MDT results clinic.
Support Programme Manager and Lead Nurse in the management of patient satisfaction questionnaires. Retrieval from BCSS and despatching questionnaires in a timely manner.
Creates correspondence as appropriate from pre-defined templates to MDTs, GPs, CCG's & Public Health. Re-creates all BCSS letters on Notis clinical systems.

As part of the screening centre team, ensure accurate and timely reporting onto the Open Exeter, Bowel Cancer screening (BCSS) data system as per national guidelines.

Assist with the management and updating of BCSP diaries and arranging appointments and meetings if required, locating suitable venues and informing attendees.

Assist with arranging and co-ordinating departmental meetings including 6 monthly audit meetings.
Assist the Programme Manager with the production of departmental induction packs and standard operating procedures for medical staff where appropriate, working from defined guidelines
Assist the Programme Manager in providing guidance and direction to new staff from an administrative perspective, e.g. 'Connecting for Health' data system, patient BCSP pathway etc working from defined guidelines.

Use judgement and initiative to prioritise the importance/urgency of particular requests within specialty defined guidelines

To undertake other specialty specific duties in accordance with Trust policies and procedures to facilitate the patient pathway in liaison with the Lead Nurse.

Assist the Programme Manager in dealing with incoming service correspondence and facilitating prompt action on results/reports.

Assist administrative systems/databases for data collection for audit purposes where appropriate.
To support new staff and provide cover for data admin personnel as required.
Share responsibility with line manager for own personal development.
The Nottingham BCSP screening centre is split across two sites: the Nottingham City Hospital and Kings Mill hospital. This post will be working at both sites on a regular basis. Applicant must have a full UK driving license and vehicle to get between sites.

Training & Qualifications

Essential criteria

  • Typing/word processing qualification or equivalent experience. Educated to GCSE standard with passes at grade C or above for English and Maths or similar through vocational training
  • Evidence of commitment to continued learning or improvement through attendances at courses.
  • Good command of the English language both written and spoken.
