Purpose of the Role
Provide frontline administrative support to facilitate the efficient running of the Centre Management Office.


To maintain robust office procedures on a daily basis, deliver first class customer service to both visitors and tenants alike.

To assist and support the Marketing Manager with events and promotions


Key Responsibilities
Main Duties

  • Responsible for meeting visitors to the Management Office.
  • Dealing with enquiries; providing a professional first point of contact for visitors and telephone enquiries to the Centre Management Suite.
  • Reporting to the Centre Director to support community initiatives and actively engage with Community Groups.
  • Photocopying for the Centre and any tenant requests.
  • Responsible for placing the stationery order.
  • Hosting of refreshments to client representatives, tenants and visitors to the Centre.
  • Coordination of meetings and management of meeting room bookings.
  • Provide a high standard of administrative support for the Centre Management and assist the Centre Director in managing his diary.
  • Taking minutes at the weekly team meetings, compiling and circulating the report.
  • Provide efficient administrative support to the Office Manager to enable the smooth running of the office operation.
  • Archiving and maintenance of records to ensure that information required to manage the Centre is accessible and accurate.
  • Maintain database/files/correspondence and associated files for the Centre.
  • Support in the compilation of the Centre's communication by letters and to distribute all incoming mail.
  • Compile retail feedback for inclusion in Management reports.
  • Collecting monthly NET takings from retailers
  • Support with the monthly mystery shopper programme
  • An understanding of commercialisation
  • Assisting with tenant liaison to communicate marketing activities and promotions to tenants as directed by Marketing Manager, involves using Savills Insights app
  • To support the Marketing Manager with alterations and amendments to the website to ensure the data is accurate and up to date. Management of website content in absence of the Marketing Manager
  • To assist in the organisation and running of events and promotions as directed by the Marketing Manager.
  • To assist the Marketing Manager with social media planning and uploading content.
  • Collating responses from tenant participation and feedback forms.
  • Assisting the Marketing Manager with gathering and inputting content for the enewsletter.
  • Assisting the Marketing Manager with distribution of marketing materials and collateral to tenants across the scheme.
  • Collation of tenant news, centre updates and marketing information in order to create the tenant newsletter.
  • To accompany the Marketing Manager in meetings with creative agencies and partners.
  • Have a good understanding of the company's Health & Safety policy and the requirements onsite, including evacuation procedures and to ensure the safety of nonsite personnel / visitors.
  • Update the Tenant Handbook quarterly and distribute as required in conjunction with the Operations Manager and Centre Director.

Skills, Knowledge and Experience

  • Strong communicator role requires a lot of face to face time with retailers
  • Proficient on Microsoft word and excel
  • Good grasp of the written word, spelling and grammar
  • Basic maths and figure handling
  • Marketing experience preferred
  • Team player, good timekeeping and organised
  • Flexible if attendance at events at weekends / evenings is required

Mon - Fri 9am-5pm
