An opportunity to join our Law Practice as an Apprentice
An excellent opportunity to start a career, complete an apprenticeship and progress within a busy Solicitors. General duties include making and receiving telephone calls, preparing precise attendance notes, and filing, etc.
We are looking for a bright, articulate, engaging individual who is interested in either general office work or a legal career to start an apprenticeship in June/July 2024.
Apprentice will be sat on reception, it is usually reasonably quiet & focused but on occasion can be busy.
It is a friendly, team focused, co-operative environment and that must be maintained so any poor or disrespectful behaviour to clients or staff would not be tolerated.
Future Prospects
- There may be progression within the firm after completion of the Apprenticeship
The Law Practice
- Solicitors practice dealing with litigation, wills, probate and conveyancing
Your role within the Practice
- Hours of working 8.50am to 5pm.
- In the office by 8.50am to ensure that the office is open at 9am and any calls are answered immediately from 9am. Also, to allow time to get a drink and have the computer switched on ready for 9am.
- Answering the telephone and directing the calls to the relevant person.
- Opening post & date stamping post
- Scanning the post to the file on Lynx.
- Sorting the post and sending to Sarah Lincoln & to fee earners
- Collecting post from fee earners and sending that by post or DX as necessary.
- Checking for answerphone messages e_ve_ry hour or so in case any calls have been missed and then pass on those messages to the relevant person. If the relevant person is not in, call back the caller and say when the person is back in the office. Then delete the messages.
- Keeping the meeting room diary check every day to see if people have any meetings to book in so that the room does not get double booked.
- Provide a warm greeting to clients, offer drinks to clients and after any meeting tidy the meeting room and wash and put away any cups or glasses used as soon as the clients have left in case the room is needed again.
- Monitor stationery to ensure that we do not run out of any items, so a weekly check on paper, pens, envelopes etc.
- Keep the kitchen tidy.
- Picking up items from the local shops as necessary.
- Be aware of Data Protection issues, do not throw away any postit notes or letters in the normal bin, anything with names, telephone numbers or anything relating to clients must go in the shredding bins.
- Make sure computers are locked when not at your desk and switched off in the evenings.
- Do not discuss clients or do dictation on the speakers when we have clients in the office_/_reception.
- Dealing with photocopying, filing and dictation and client chasers as requested by fee earners.
- Close blinds in the evening and make sure the reception area, kitchen and meeting room is tidy.
- All waste paper to go in the shredding bins even if nothing confidential on it.
Desired skills
- 49 grades English and maths GCSE's
- Confident with excellent communication skills.
- Ability to multitask and manage reception in conjunction with other administration duties
- Good attention to detail
- Good working knowledge of ICT packages including Word, Excel and Outlook.
- Ability to demonstrate or gain a clear understanding of the firm's inhouse systems where training will be given
- Excellent presentation, organisation and timekeeping skills
- Awareness of confidentiality and safeguarding
- The ability to use own initiative, be able to work individually as well as part of a team
- Must be wellpresented with a clear, pleasant telephone manner
- Good organisational skills
- Good client care skills

You will complete the Level 3 Business Administrator Apprenticeship Standard.
- This Apprenticeship will involve off the job training.
- You will also develop your knowledge, skills and behaviours.
- You need to have an employer to support your Apprenticeship and be employed in a relevant job role.
- The typical length of this Apprenticeship course is 18 months.
