Description

To provide a professional administrative service to the Rheumatology Occupational Therapy Services, assisting with the day to day functioning of Referrals, and providing support to the clinical staff.

Processing referrals, booking appointments, transcribing letters and other tasks to provide a high quality of care.

Promote a positive image of professional integrity. Uphold our admin team values and ethos always.


Work alongside Clinical colleagues and operational lead in providing patient care, this includes coordination of clinic templates, diary management, monitoring of clinic capacity to achieve best possible outcome for our patients.

Compliance with Trust procedures.


Update patient information in EMIS and add maintain accuracy of data quality in EMIS and eRS by cleansing and closing patient activity lists.

Scan treatment related documents to the patient record in EMIS.

Assist in monitoring, ordering, receiving and safe storage of equipment.

Use the team mailbox to send information and receive queries.

Participate in all aspects of general office duties.


Attend and participate constructively in team meetings and the staff appraisal programme, in order to update skills, knowledge and to contribute to service development.

Handle patient complaints calmly as they arise and refer to Team Lead if required.

Assist in collating a prompt response to Subject Access Requests.

Report promptly any issues/faults as they arise to relevant Department, e.g. IT, Estates, Help Desk etc.

Undertake all mandatory training as stipulated by the organisation.

Communicate clearly to the Team Lead any difficulties in carrying out these duties.

The Rheumatology Occupational Therapy service is part of Clinical Support Services Therapies Directorate. The Rheumatology Occupational Therapy team work predominantly out of Clifton Hospital and Fleetwood Hospital. The admin team is based out of Clifton Hospital.

Supervisory role managing 4 members of B2 admin staff across Whitegate Health Centre and South Shore Primary Care Centre.

Support the Band 2 administrators in the performance of their duties, keeping them up to date with new procedures and ever-developing service changes.

Assist with training/induction of new staff. Liaise with Service Support Team Lead to plan, develop and implement administration procedural changes. Promote a positive image of professional integrity. Uphold our admin team values and ethos always.
