Job Title:

Receptionist
Location: Mallusk**:


Reporting to:
Financial Controller
Main Purpose:To provide a professional, pleasant, and welcoming reception service to staff, visitors, and incoming callers


Job Duties:

The following reflect the main duties associated with this role and are not intended to be exclusive and exhaustive:

  • To operate the switchboard, take messages where required and redirect calls accordingly
  • To answer the phone in a timely manner
  • To greet visitors on arrival and connect them with the appropriate party
  • To provide hospitality for all visitors and internal staff meetings on request
  • To open and distribute mail
  • To provide administrative support to visitors and other departments as required
  • To manage the booking of flights, hotels and other travel arrangements for staff
  • To manage and coordinate meeting rooms
  • To ensure the reception area is kept clean, tidy and clutter free
  • To maintain security by ensuring visitors and staff sign in / out correctly
  • To undertake any other reasonable duties

Essential Criteria:


  • Educated to GCSE standard including Grade C or above in Maths and English
  • Previous experience of working in a Receptionist/ Administrator role
  • Excellent level of IT literacy with knowledge of Microsoft Office packages, to include word processing experience
  • Excellent verbal and written communication skills.
  • Professional telephone etiquette and manner.
  • The ability to act on your own initiative as well as part of a team.
  • Excellent organisational skills with an eye for detail and the ability to prioritise work in a logical fashion.
  • The ability to input and record data accurately and efficiently.
