Description
The post holder is responsible for the organisation of their secretarial team including the allocation of tasks.

Using their initiative, skills, knowledge and experience they will manage, prioritise, plan and organise their own time and the workload of their team, ensuring that agreed targets are achieved, whilst maintaining the highest standards to the mutual benefit of the patients and the Trust.

Responsible for the day-to-day supervision, efficient planning, and daily organisation of their team.

Provide guidance on allocation and prioritisation of workload to staff.

Provide leadership within the team and promote good practice as this relates to national guidelines and local policies.

Monitor performance and quality standards within the department.

To manage own workload efficiently and effectively.

Ensure the smooth and efficient running of the office/team in a complex changing environment.

Prioritise and organise own workload.

Ensure that the results of tests and investigations for patients are proactively tracked.

Arrange and service meetings as requested, taking and transcribing minutes and any follow-up actions as requested.

Provide support for the in-house patient data tracking system for patient case notes.

Deal with enquiries and action as appropriate.

Communicate clearly and effectively with all internal and external Health Care Professionals and other clerical staff.


Comply with the Data protection, Access to Health Records, Freedom of Information and related Acts of Parliament, Health and Safety procedures and confidentiality.

Assist with induction and training of new and less experienced members of staff.

Ensure skills are updated regularly through appraisals and further training.
