The Workforce team has a vacancy for the role ofWorkforce Data Administrator, part of HR.

As well as the transactional data input to keep ESR, Healthroster and expenses up to date, the team provides workforce information and ensures we gain maximum benefits from the Electronic Staff Record (ESR) and related systems (Healthroster, electronic expenses etc.).

The Trust has been proactive in the use of ESR functionality with all managers and employees using Self Service.


The role requires a full hands-on ability and understanding of ESR functionality, NHS pay terms & conditions and an appreciation of the interaction between ESR and other trust departments and the payroll team.

This is a key role, in which you will ensure that information entered into is accurate and timely.

You will also be working with trust managers and staff, answering their technical questions and helping them in their use of our systems.

The job is based on Priestley Wharf - with occasional travel to our sites around Birmingham.

To provide data Input support within the Workforce Information team.

To maintain employee records in the Workforce systems (Electronic Staff Record, ESR and Healthroster/e-expenses), ensuring the schedule of weekly and monthly deadlines are met.

To also support the Healthroster Administrator. To run standard and ad hoc reports to provide workforce information.

  • Required to process accurately, within payroll deadlines, personal employee data, Including starter/leaver/changes, onto the workforce systems, ensuring that employee records are accurate and up to date and so maintaining a high quality Information system for the Trust.
  • To identify and respond to data quality errors identified with the workforce systems (ESR and Healthroster) and to carry out investigations to solve them referring to the team supervisor if needed.
  • To liaise with managers, employees, Human Resource, Finance colleagues and Payroll to investigate any queries prior to data input to ensure the accuracy of the information.
  • To assist and respond to pay, expenses and terms and conditions queries from staff and managers with reference to team colleagues and the team supervisor as needed.
  • The postholder will manage their own workload assessing priorities and planning ahead to meet ongoing strict deadlines.
  • Initiate and receive Inter Authority Transfers (IAT) for Medical and Dental Staff.
  • To confirm NHS Service Dates and increment dates for Medical and Dental staff.
  • To respond to technical queries from staff and managers on the use of the workforce systems, postholder may be required to explain technical issues to a non technical audience.
  • To deliver training to users of the workforce system, this will also include organising training dates and venues when required.
  • To be responsible for processing defined workforce changes in ESR (Starters, Leavers and assignment changes.)
  • In conjunction with the wider ESR Team, manage both the ESR queries and Expenses EOL; inboxes, including providing general advice in relation to the systems. This can include, assist and respond to pay related queries, e expenses queries, requests for logins, amendments to data etc
  • Together with the Healthroster Administrator ensure staff changes are kept aligned in both ESR and Healthroster
  • Together with the Healthroster Administrator, and the other team members, ensure Vehicle details are kept up to date in ESR and Healthroster.
  • Together with the Healthroster Administrator, and the other team members, ensure expense claims are processed correctly identifying errors as they arise, but also participating in 'audit' checks of claims accuracy.
  • Together with the Healthroster Administrator raise service calls with the Healthroster/eexpenses supplier when system faults are identified. Escalate to the
