Job Title: Catering Administrator

Salary:
£27,500 circa per year (Mon - Fri at 40 core hours per week)

Job objectives and responsibilities

  • To provide an effective and efficient helpdesk and administration service to Catering Services, including being the first point of contact for all Catering queries and requests.
  • To operate and update the Catering systems used to manage and control all Catering activities
Main duties and accountabilities

  • Provide comprehensive administrative support to Catering Services ensuring that work is completed accurately, effectively and efficiently so that the office runs smoothly at all times
  • Escalating incidents to the Management team, the Authority and third parties as detailed in the escalation procedure to ensure prompt resolution.
  • Produce and distribute, as required, documents, reports and information in a timely manner consistent with the Authority's requirements and company standards of efficiency and accuracy.
  • Create and maintain manual and computer records and files, including PPM and reactive maintenance systems, such that records are up to date and information can be accessed readily.
  • Take minutes of meetings and circulate agendas so that contents of meetings are accurately recorded and circulated and participants and others informed.
  • Maintain diaries; arrange appointments, meetings, travel and accommodation as required.
  • Type and compose letters on matters as required in order to support the efficient administration of Catering Services.
  • Screen incoming communications, answer routine questions, take messages and/or refer on to internal contact.
  • Undertake financial administration as required including initiating Purchase Orders and verifying Invoices in line with company standards.
Print off daily paperwork and allergen sheets and keep them updated.

Collect and put away the deliveries.

Complete any orders needed.

Complete staff overtime hours.

Check shifts are covered daily including both kitchens and both shops.

Fill out the shadow accounts for both kitchens both shops.

Process the invoices on invoicing system

Request any facilities jobs.

Clean fridges/ freezers keep them tidy and directing the task.

Complete monthly and quarterly audits.

Check in with the shop staff/ ensure they are ok and if they need anything.


Complete monthly stock takes for both shops and both kitchens, keeping a record and recording on the shadow accounts to send to Ella.

Liaise with suppliers to get the best deals, log any quality issues or delivery complaints.

Respond to any complaints from residents in the time frame given.

Update the food safety manual.

Complete the residents training.

Complete some of the staff training and updating staff records.

New employee interviews, paperwork and dispensation requests.

Menu costings,

Ordering any stock for other departments and cross charging accordingly.

Resident special dietary requirements

Attending RCC and Food consultation meetings, minute taking.

Uniform and kitchen equipment ordering.

Liaising with our finance team.

Monitoring the service of residents.

  • Maintain comprehensive stocks of all forms, documentation and as required order equipment and materials ensuring it is available when required.
Person Specification

  • Previous relevant administrative experience is required.
