THE ROLE


Provide first line support to the Centre Management Team and main point of contact for the centre's occupiers and stakeholders.

Actively managing all business and systems.


WHAT YOU'LL DO
PROVIDE A HIGH STANDARD OF ADMINISTRATIVE SUPPORT TO INCLUDE:

  • SUPPORTING THE CENTRE MANAGER AND RELEVANT BUDGET HOLDERS IN PRODUCTION OF P& L STATEMENTS AND FINANCIAL REVIEWS, INCLUDING THE YEAR END BUDGET PROCESS.
  • THE ADMINISTRATION OF THE COMPUTERISED ACCOUNTS SYSTEM (PORTAL/QUBE). ENSURING THE PROCESSING OF ALL PURCHASE ORDERS AND INVOICES IS TIMELY AND ACCURATE, ALL INVOICES ARE AUTHORISED FOR PAYMENT AND ALL ASSOCIATED RECORDS ARE MAINTAINED WITHIN COMPLIANCE GUIDELINES.
  • TO COLLATE WEEKLY OCCUPIER FINANCIAL DATA, RECORD ACCURATELY, HIGHLIGHTING ANY ANOMALIES AND TRENDS TO CENTRE MANAGEMENT TEAM AND ASSET TEAMS AS REQUIRED.
  • SUPPORT THE PROCESS OF TRACKING ALL PROPERTY MANAGEMENT REPORTING, CHASE OUTSTANDING REPORTS AND ACTION POINTS AS DIRECTED.
  • PROVIDE ADMINISTRATIVE SUPPORT TO THE CENTRE MANAGER AS REQUIRED.
  • HAVING A GOOD UNDERSTANDING OF YOUR ROLE WITHIN THE COMPANY'S HEALTH AND SAFETY POLICY AND THE RESULTANT REQUIREMENTS ON-SITE, INCLUDING EVACUATION PROCEDURES IN THE EVENT OF AN INCIDENT, TO ENSURE THE SAFETY OF ON-SITE PERSONNEL / VISITORS.
  • ACTIVELY MANAGE ALL CORRESPONDENCE PRODUCING LETTERS, REPORTS, PRESENTATIONS, AND OTHER DOCUMENTATION WITH AGREEMENT OF CENTRE MANAGER.
  • ACTIVELY MANAGE ELECTRONIC FILING OF REPORTS, MANUALS AND DRAWINGS.
  • ASSIST IN PREPARING PRESENTATION MATERIAL AND PAPERS TO JV BOARDS, ASSET TEAMS AND OCCUPIERS
  • SUPPORT CENTRE MANAGEMENT TEAM TO MEET SET KEY PERFORMANCE INDICATOR OBJECTIVES FOR BUSINESS UNIT.
  • PERFORM ROUTINE COLLATION OF MONTHLY METER READING DATA PRESENTING TO ENERGY BUREAU TEAMS.
  • ENSURE RISK ASSESSMENTS, STATUTORY INSPECTION SCHEDULES AND REPORTS ARE SAVED AND ISSUED FOR RELEVANT DEPARTMENTS REVIEW.
  • ACTIVELY SUPPORT TEAM TO OUTPERFORM ON INTERNAL AND EXTERNAL AUDITS.
  • UNDERTAKE AD-HOC PROJECTS AS REQUESTED.
  • COLLABORATE WITH MARKETING AND OCCUPIER TEAMS TO DEVELOP CUSTOMER FACING MARKETING RESPONSES TO ENHANCE TRADING PERFORMANCE AND SOCIAL MEDIA OPPORTUNITIES.
  • WORK WITH LOCAL COMMUNITY INITIATIVES BY BEING THE CENTRE'S COMMUNITY CHAMPION.
  • COLLATING ENERGY AND WASTE CONSUMPTION DATA FOR THE CENTRE AND RECORD ACCURATELY ON WEB-BASED SYSTEM
  • CR360.
  • LIAISE WITH OCCUPIERS, INCLUDING PRODUCTION, MAINTENANCE AND DISTRIBUTION OF THE OCCUPIER'S HAND BOOK, AND MINUTES FROM OCCUPIER MEETINGS.
  • ASSIST WITH THE MAINTENANCE OF ALL RELEVANT FILES AND RECORDS AND THE STANDARDISATION OF SITE DOCUMENTATION.
  • MAINTAIN ACCURATE CONTACT DETAILS FOR OCCUPIER CONTACTS, KEY-HOLDERS, SITE STAFF AND SERVICE PARTNERS.
  • COLLATE AND CIRCULATE DATA AND REPORTS AS REQUESTED, SUCH AS, MYSTERY SHOPPERS SURVEYS, CAR PARKING AND FOOTFALL REPORTS, SALES REPORTS ETC.
  • ASSIST WITH BL COMM AND ENSURE RELEVANT INFORMATION IS STORED ON IT / GENERAL HOUSEKEEPING WITHIN THE SYSTEM.
