Secretary PA - Brett Martin Ltd**
Responsible to:Sales Director**
Main Purpose: Responsible for providing secretarial and PA duties to the Sales Director, Managing Director and GB plumbing and drainage sales teams.
Main tasks and duties

PA and Secretarial duties _
-
Accountability_
- To assist the Sales Director and sales team to achieve company objectives.
- Operate and update the CRM system.
- Secretarial and PA duties in support of the Sales Director, Managing Director and the Plumbing and drainage sales/commercial teams.
- Co ordinating the daytoday Marketing activities with the Marketing department ensuring all customer expectations are met.
- Manage all point of sale and promotional literature and liaising with the Group Marketing department.
- Liaising with senior Managers across the group to facilitate company objectives.
- In depth spreadsheet analysis on a bespoke basis
- Liaising with BDM's and the Technical department ensuring any issues raised are resolved to a satisfactory manner.
- Providing Catering for Board and Sales meetings.
- Opening mail and directing appropriately.
- Organising sales conferences seminars exhibitions and all commercial activities.
- Ensuring there is always adequate stationary for the department.
- Sales Directors diary management.
- Coordinate hotel and travel bookings for the Directors and Sales teams including all flights.
- Manage price increase communications to all customers ensuring all expectations are met.
- To record and monitor all departmental holidays and sickness in conjunction with the HR department.
- Any other adhoc duties

- Responsible for Director support, ensuring customer care and expectations are met.
Problems and Challenges _
- Ensure the Sales Director is informed in an accurate and timely manner of any issues.
- Maintain a high degree of accuracy in all work performed.
General_
- Any other duties as may reasonably be required.
Communications_
- Ensure communications are maintained at the highest possible level between management and the workforce and keep directors advised of impending situations which could develop into more serious problems;
- Ensure staff are kept fully briefed regarding the work and performance required from them and give direction and support to ensure that tasks are completed on time;
- Develop mutual respect with employees, by ensuring that all dealings are objective and impartial.
PERSON SPECIFICATION
- Several years' experience in a similar role as a Secretary /PA to company Directors/Senior Managers
- Give clear, influential communication.
- Good planning and problemsolving skills.
- Strategic thinking skills.
- A structured approach.
- Good working knowledge of developing and maintaining CRM systems.
- Excellent interpersonal and communications skills
- Experience of Sales Marketing
