Description

The role of the Part-Time Office Administrator requires an organized, self-motivated approach with the ability to multitask, responsible for providing administrative support to our office personnel.

The Office Administrator's role will include working closelywith our team to complete clerical duties, including supporting the accounts team with purchase ledger.

Description

The successful Part-Time Office Administrator will be responsible for areas including (but not limited to):

  • Answering incoming calls, able to confidently transfer the calls as needed and take accurate messages in the person's absence when another team member is required.
  • Providing a warm, welcoming environment for all incoming visitors and clients.
  • Providing support to the accounts and administration team, which includes activities such as scanning, filing, archiving and uploading of invoices to the accounts system for the sales and purchase ledgers.
  • Creating workflow tickets on CRM for teams, ensuring tasks are created and assigned to the relevant department, paying close attention to detail.
  • Arranging incoming and outgoing post and ensuring that office supplies are adequately stocked.
  • Managing our customer servicing database and booking in annual services.
  • Following up any remedial work on outstanding jobs.
  • Coordinating and managing appointments and meetings in order to prevent duplicate bookings.
  • Maintaining general office files, including job files, and other files related to the company's operations.

Profile

The successful Part-Time Office Administrator will be able to demonstrate:

Education & Qualifications - Essential

  • Olevels/GCSEs Grades A
  • C including Maths and English.

Education & Qualifications - Desirable

  • Experience of CRM or ERP systems.

Work Experience - Essential

  • Demonstrable experience in working in an office, customer service, and handling reception duties

Work Experience - Desirable

  • Experience of working in the Renewable Technology and Construction sectors.

Technical Competencies

  • Effective at data management and producing reports.
  • Experience of computer packages
  • Microsoft 365 packages including Outlook, Word and Excel.
  • Full clean UK driving license

Behavioural Competencies

  • Able to build strong relationships in a professional and friendly manner.
  • Highly organized and with excellent attention to detail.
  • Can multitask and work to deadlines as needed.
  • Excellent communication skills, verbal and written.
  • Demonstrates a willingness to work with others, as a team player.
