Job purpose:
To work with the Senior Secretariat Assistant to provide administrative support to the Executive, Governance Council, Public Interest Committee and other sub-committees as required, scheduling meetings, collating and distributing papers and following up on actions.
Role & Responsibilities:
- To support the Senior Secretariat Assistant to ensure the Boards are properly supported in their activities
- To schedule relevant board meetings
- To commission board papers, collate papers and distribute them in a timely manner
- To format papers received to ensure they are in the standard format agreed
- To follow up on all actions to ensure they are completed by the relevant action owner
- To monitor the central secretariat inbox and distribute to relevant team members as required
- To maintain a central log of all agendas
- To maintain an audit trail of decision logs, action logs and papers
- To ensure all papers are properly filed with the appropriate file naming convention
- To collate papers for various regulators as required
- To work with the Head of Secretariat to improve efficiency, proactively developing proposals to streamline processes
- To provide dedicated administrative support to the CEO and other individual senior leadership team members as and when required, working closely with the National Business Support Team
Skills, Knowledge & Experience:
- Experience of working in a secretarial role, preferably within the professional services sector (desired)
- Experience of providing administrative support to senior leadership team members, preferably within the professional services sector
- Strong written skills
- Strong attention to detail
- Strong organisational and multitasking skills
- Flexible with the ability to work effectively under pressure and manage conflicting priorities
