The Post

This role is within the Finance Operations team in the Finance Office of the University, which delivers all areas of financial processing in accordance with established procedures, policies and regulations.


This role will support the financial operations, primarily focused on accounts receivable, of both the University of Stirling and INTO University of Stirling LLP (INTO).

The latter being a joint venture of the University providing an international study centre on the Stirling campus providing a range of academic and English language preparation courses for international students.


The anticipated split of duties will be 50% at the University and 50% at INTO, as such whilst direct line management is provided by the Income Team Leader this role will also report to the INTO Finance Business Partner.


Whilst the post holder will focus on specific operational processes, there should be a willingness to be flexible about the processes allocated to them as such needs arise.


Description of Duties

The post holder will be responsible for:

University Finance (50%):

  • Maintaining an accurate and up to date accounts receivable ledger with primary focus on debt recovery and reducing aged debt using a range of debt chasing methods and skills, encouraging and taking payment and/or agreement of payment plans to recover debt
  • Developing processes to reduce debt and encourage prompt payment
  • Ensuring that financial data is accurate, processed to agreed timelines and complies with policies and procedures
  • Maintaining procedure manuals for all areas of responsibility in order that the team continues to comply with accepted practice and adapts to changes in business operations
  • Planning and organising own workload and overseeing the workload of the Finance Transactions Assistants as required, managing any conflicting timescales to ensure deadlines are met
  • Resolving more complex issues raised by the Finance Transactions Assistants
  • To ensure monthend activities are completed in line with the agreed monthend close timetable highlighting any risks to the Team Leader as appropriate
  • To assist the Team Leader with the provision of information to support Internal Audit and External Audit activities
  • Ensure the team is aware of potential fraudulent or money laundering activities. Actively manage associated risks or potential cases, highlighting risks and issues to the Team Leader as appropriate
  • The post holder may be required to suggest improvements or developments to current working practices in consultation with the Team Leader, in order to ensure the smooth running of the service they provide
  • To undertake other duties and responsibilities commensurate with the grade of the post that are within the remit of the Finance Operations team

INTO Finance (50%):

Students & Sponsors Accounts Receivable:

  • Provide the first point of contact for students to deal with finance requests and enquiries
  • Invoice students and sponsors in a timely manner, including tracking outstanding invoices and records of communication with students
  • Generate student statements, review and categorize aged debt, and proactively follow up with students where payments are outstanding or falling due
  • Collaborate with INTO's central accounting department to process student refunds
  • Respond to student, parent, educational counsellor and regional office queries regarding student accounts, and answering financial questions they may have
  • Record and reconcile accounts related to students and sponsors.

Maintain accurate student records:

  • Ensure completeness and accuracy in student records, including but not limited to: income from tuition, accommodations, insurance, and other fees
  • Completing daily cash sheets to agreed deadlines and posting receipts and payments as well as banking cheques and cash
  • Managing all aspects of daily petty cash requirements, including receipts, payments and monthly reconciliation

Support Commercial Finance:

  • Provide support in regard to invoice reconciliation and agent commission eligibility
  • Identify and process bad debt write offs, following the bad debt write offs policies
  • Perform price checks, including updating new prices periodically
  • Regularly review policies, procedures, and terms and conditions, and make recommendations
  • Work on special projects and other duties as requested

Essential Criteria

Qualifications:


  • Vocational qualifications plus several years relevant work experience

  • Learning gained through work experience of a number of years. Will include short courses and other formal training
Knowledge & Experience

  • Substantial, relevant experience in an Accounts Payable and/or Accounts Receivable environment
