Job descriptionThe Scheduling Coordinator role is critical to the effectiveness of the Service Team and therefore the person fulfilling this role will gain the following qualities:

Engineer job diary / logistics- speak with customers to arrange times for visits
- send service visit forms
- raise jobs on both engineer diary system and SAP system
- book diary for maintenance days, service contracts
- breakdowns
Appointments - booking visits for service to evaluate installation jobs or to do site visits

Quote parts and labour for site visits:
Customer contact- liaise with customers keeping them informed on their site visits
- keep regular contact with service contract customers
Timesheets for engineers - collect timesheets from engineers and process

Overtime claim form checking - verify with trackers, MD to sign off timesheets and send to Head Office on time

Repair jobs - Assign engineer to look at repair jobs, quote customer and chase quote, order parts from spares & progress. Re-assign engineer to complete repair and liaise with customer for the return of the drive. Attend weekly repair meeting to discuss updates and workload for the coming week

Weekly activity spreadsheets - collate information from previous week's service calendar and present in a spreadsheet format.

Warranty issues - deal with customers who query warranty issues, raise correct forms - liaise with suppliers for cover and delivery ensure faulty parts are returned - complete spreadsheet - close queries, maintain file and spreadsheet.

Site inductions & Contractor safety cards - Keep up to date with engineers site passes/inductions etc., collate information on a spreadsheet and set reminders on outlook calendar to re-book inductions. Keep track of JIB & safety passport cards and ensure renewals are booked in good time.

Vehicle register - vehicle records to be kept up to date including all maintenance, tax and MOTs.

Maintenance Reports - check over maintenance reports following service visits and check if there are recommendations to quote - quote for these
- Engineer tools and equipment lists to be kept up to date including ensuring all items have been calibrated and the PAT test is up to date.
- Calibration equipment and register to be kept up to date.

You must be customer focused, with a proactive approach to day-to-day work as well as being able to maintain effective relationships with current customers.
You must be a team player, and be able to contribute towards team goals, equally you must be able to demonstrate the ability to work under own initiative at times.
