Job Description Summary:

Becoming an On-Boarding Administrator with Capita HR Solutions in partnership with Kings College Hospital.

You will play a pivotal role in pro-active recruitment administration support and query management.


This position does not offer hybrid-homeworking and will be full time, office based at Kings College hospital

Job Summary:


The post holder will provide system and administrative support within the On-boarding Centre and the wider Recruitment Administration team as required.

The post holder will be expected to act independently ensuring that daily tasks and ongoing workloadsare prioritised and completed in agreed timeframes.


The post holder will have access to more experienced staff for reference but will also be expected to use their own initiative and keep their line manager and senior colleagues informed.

The post holder will follow the policies and procedures for the department.


This is a role with lots of variety and ad hoc demands and therefore the post holder will be expected to develop excellent time management and planning skills.


KEY RESPONSIBILITES

  • To be first point of contact to the visitors at the onboarding centre
  • Meeting and greeting visitors and clients, ensuring a positive experience
  • Deal with telephone and face to face enquiries, initiating action as appropriate
  • To check, collect copy and scan paperwork to the Recruitment team
  • Verifying identification of new hires using identification scanning technology, authenticate DBS and confirm clearance with the Recruitment team. Flag any concerns to the Counter-Fraud team
  • Work closely with the Recruitment team to ensure smooth onboarding of the new starters
  • Cover an onboarding service at another London site as required
  • Undertake general administrative tasks such as filing and photocopying etc
  • To support with adhoc projects as required

What we're looking for:


  • Strong administration experience in a recruitment related role.
  • Experience of working with an Applicant Tracking system (experience of working with Trac would be beneficial)
  • Educated to GCSE (or equivalent) standard
  • Experience of working in a customer facing environment.
  • Experience working to tight deadlines in a fastmoving environment.
  • Excellent attention to detail.
  • Experience of multitasking and prioritising.
  • Excellent communication skills written and verbal

Desirable skills:


  • Experience of working with NHS Agenda for Change terms & conditions
  • Experience of working with Trac applicant tracking system

Personal Development

  • Actively participate in personal development together with line manager.
  • Undertake mandatory training as required.
  • Develop a clear understanding of the service and the role. Also, able to provide cover for the main duties of colleagues in the area when necessary.
