To provide a first class, comprehensive secretarial service to a team of local Consultant Medical Staff and to facilitate effective communication between medical teams at the West Wales centres.

To actively participate in the planning and implementation of all reading and assessment clinics held at the West Wales Breast Screening Centre in Swansea.

Providing non clinical advice and information over the telephone to service user, their families or carers.

A part-time opportunity has arisen for a highly motivated and experienced Medical Secretary. The post holder will be required to provide a comprehensive secretarial service to the local clinical team.

Planning and supporting the assessment pathway, including processing assessment clinics, typing clinic letters, recording clinical data and creating electronic treatment referrals.

Provide high level direct secretarial support for all consultants, including keeping of parallel diaries, typing correspondence and reports, arranging appointments.


Co-ordination and planning of assessment clinics, ensuring optimum use of consultant time and available appointments, adjusting numbers recalled and deciding upon appropriate case mix for each individual clinic.

Planningof assessment clinics requires high level of co-ordination and planning skills as programme is delivered by four teams, each comprising of a Consultant
Radiologist and Consultant Surgeon.

The clinics are held at two separate locations and it is critical to ensure documentation is ready in a timely fashion.

Responsible for the obtaining of and insertion in notes of all examination and investigation reports, bringing abnormal results to the attention of the appropriate consultant medical staff in order to ensure the delivery of effective patient care.

Co-ordinate arrangements for admission to treating hospitals of service users undergoing biopsy/treatment, liaising with individual consultants hospital secretaries.
Process screening films requiring further assessment following reading and arbitration by consultant radiology staff.

Collate attendance figures at assessment clinics to compile statistical returns for inclusion in Balance Scorecard, for use in the reporting of performance against national and quality standards for breast screening.

Prepare cases for weekly Multi Disciplinary Team meeting. High level of accuracy essential, as is good understanding of relevant medical terminology.

Accountable for correct documentation in patient case notes.
Maintain patient records for all service users attending assessment clinics or undergoing subsequent treatment.
